Client Overview:
The client operates a network of educational facilities focused on optimizing utilization and improving building operations. While growth is not a primary focus this fiscal year, significant investment is being made into upgrading and supporting existing schools.
Position Summary:
We are seeking a highly organized, detail-oriented Project Coordinator to support the execution of capital improvements, school openings, and operational initiatives across multiple sites. This individual will serve as a right hand to the lead project manager and help manage coordination, logistics, tracking, and follow-through across a broad portfolio of projects.
Key Responsibilities:
- Actively manage project plans and schedules built by the lead PM using Smartsheet and Excel.
- Follow up persistently with internal teams and vendors to ensure completion of tasks (e.g., licensing, staffing, hardware orders, facility access, and IT installs).
- Track project progress, risks, and completions for 15–20 simultaneous school builds or improvements.
- Serve as the go-to coordinator for all project-related logistics, documentation, and order tracking .
- Liaise with internal IT, procurement, operations, and other departments to close project gaps
- Place or assist in placing facility-related orders and coordinate vendor delivery timelines.
- Maintain accurate records and status updates for licensing, procurement, IT installs, staffing, etc.
- Join operations and project calls and contribute using knowledge of how a school facility functions.
- Coordinate across multiple teams and serve as a connector for field and corporate partners.
Preferred Background:
- Experience supporting large-scale rollouts or physical site openings (e.g., retail, education, hospitality, or restaurants).
- Prior role in an educational setting is a strong plus (e.g., director, teacher, or administrator).
- Familiarity with facilities management, licensing, procurement processes, and opening checklists.
Must-Have Skills:
- 2+ years in a Facilities Project Coordinator role
- Strong organizational skills with a passion for detailed checklists, timelines, and follow-up.
- Exceptional verbal and written communication, especially in cross-functional settings.
- Self-motivated with a strong sense of accountability and urgency.
- Ability to manage multiple concurrent projects and priorities without losing track of details.
- Must have experience with Smartsheet and Microsoft Excel.
- Understanding of operations language, especially within childcare or education.
- Comfortable with vendor coordination and light IT liaison responsibilities.
Nice-to-Have:
- Experience with Oracle Financials (especially for purchasing/procurement).
- Experience placing orders and handling logistics for multi-site operations.
- Exposure to project or operations environments in childcare, school management, or healthcare.
