Job Summary:
This position will be working 25 hours per week. Position provides vital administrative support to ensure smooth operation of services within Student Well-Being & Accessibility. Serving as first point of contact for students, faculty, and staff, this role involves answering calls, assisting walk-in visitors, and managing departmental email. Additional responsibilities include scheduling appointments, supporting student intake process, and maintaining electronic health records in strict compliance with privacy regulations. Position plays a key role in supporting food pantry and snack shacks by tracking inventory and supervising student workstudies involved in pantry operations. Role contributes to event and program coordination by assisting with setup and promotion of departmental events, workshops, and activities.
Essential Functions:
Administrative Support and Office Operations o Serves as first point of contact for students, faculty, and staff, answering phone calls, assisting walk-in visitors, and managing departmental email inboxes. o Coordinates and manages counseling and disability appointments for students, including scheduling, rescheduling, checking-in students, and sending daily appointment reminders. o Assists with student intake process, ensuring confidentiality and compliance with privacy regulations. o Ensures timely initiation of crisis protocol in event of a student emergency, coordinating with departmental staff and other campus resources as needed. o Drafts meeting agendas and takes minutes, as needed. o Performs general clerical duties such as mail, scanning, copying, filing, invoice routing, travel arrangements, expense reports, mail sorting/handling, and data entry. Food Pantry Operations o Oversees day-to-day operations of student food pantry/snack shacks, overseeing online ordering system, verifying orders, and ensuring order fulfillment. o Tracks pantry inventory, places restock food orders, and ensures items are stored properly to maintain quality and safety standards. o Supervises student work studies who assist with pantry operations. Event and Program Coordination o Assists with logistical planning and setup of departmental events, workshops, and programs, ensuring spaces are reserved, setup, and ready for use. o Assists in arranging catering or refreshments for events, including ordering, setup, and teardown. o Assists with promotion of events by preparing flyers and posters and distributing them on campus. o Tracks supplies and materials needed for events, ensuring that items are stocked, ordered, and available as required for upcoming programing.
Other Duties:
o KNOWLEDGE , SKILLS , & ABILITIES : Must have strong organizational skills to manage multiple priorities such as scheduling, handling inquiries, and coordinating food pantry operations. Effective communication (verbal and written) is essential for interacting with students, faculty, and staff. Requires solid understanding of confidentiality and privacy regulations (e.g., FERPA ) for managing sensitive records. Proficiency with office management tools and electronic health record systems is necessary. Requires ability to coordinate events and supervise student workers. Problem-solving and ability to remain calm in emergencies are key to success. - Performs other tasks and duties as assigned.

Minimum Qualifications o High school diploma or equivalent. o 2 years of administrative support experience. o Ability to handle confidential information with discretion and adhere to privacy regulations. o Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software (e.g., electronic health records, Canva). o Excellent communication skills, both verbal and written. o Strong organizational skills with attention to detail and ability to handle multiple priorities. o Strong customer service skills, with a focus on student-centered support. Additional Desirable Qualifications o Associate’s degree or higher preferred. o Experience in a higher education or mental health setting. o Basic knowledge of counseling, disability services, or student support services. o Experience supervising or working with student employees. o Experience in food pantry or inventory management.
Grade:
Salary Range: $16.42 - $20.60
