Position Summary

This position serves as a Business Services Specialist within the Business Services department. Responsibilities include managing communication with internal customers and vendors for purchase orders, coordinating invoice processing, preparing cost analyses, resolving purchasing issues, and reviewing purchasing agreements. This role serves as a primary resource for the college community regarding payment questions, vendor issues, encumbrances, and returns.
This position also manages the Egencia online travel system, processes travel reimbursements, and provides clerical support. Duties involve purchasing both online and through Ellucian Colleague, preparing RFQs/RFPs, tracking orders, and ensuring compliance with college policies and applicable regulations.
Essential Duties and Responsibilities

Purchase items online using a college purchasing card and process traditional purchase orders.

Communicate with vendors for quotes, W9s, shipping, and pricing details.

Maintain purchasing card records, allocate charges, and upload documentation.

Write and issue RFQs, RFPs, and bids using standard templates.

Serve as primary contact for Egencia and travel-related questions.

Review and process travel and PDA expense reimbursements in compliance with IRS and college guidelines.

Track and follow up on open orders, backorders, and deliveries.

Ensure all purchasing activities meet institutional and regulatory compliance.

Maintain system security and user routing in the purchasing system.

Coordinate athletic team transportation and van scheduling.

Provide general clerical support and complete special projects as assigned.
Required Qualifications

Associate degree in Business, Management, Accounting, or a related field.

1 to 3 years of position-related experience.
Additional Experiences Considered

Background in Business, Purchasing, Accounting, Logistics, or Supply Management.
