Customer Service Representative

Key Responsibilities:
- Managing customer orders by entering and converting orders, matching dates, handling expedites, and troubleshooting inquiries.
- Responding promptly and accurately to sales representatives' questions and requests, ensuring full satisfaction in alignment with company standards.
- Communicating effectively with sales reps, regional managers, and internal departments such as IBP, Scheduling, AR, Service Parts, and Marketing.
- Performing administrative duties, running reports, and completing special projects that support the capital sales business.
- Relaying critical order management communication between customers, sales force, and internal teams, including updates or changes to scheduled delivery dates.
- Backing up the Customer Support team when needed to ensure seamless service coverage.
- Following standardized order entry processes to ensure 100% accuracy for all orders submitted via phone, electronically, or by fax.
- Maintaining all appropriate records in accordance with company specifications.
- Meeting all training, documentation, and regulatory criteria while identifying and reporting productivity concerns to support root cause problem-solving.
- Building relationships and fostering teamwork across departments and with team members.
- Prioritizing tasks effectively and adjusting priorities as needed to meet shifting demands.
Qualifications:
- Minimum 2 years of experience in customer service roles.
- Strong listening skills to fully understand and respond to customer and team needs.
- Excellent organizational skills for managing multiple priorities and tasks.
- Attention to detail to ensure accuracy in all communications and order management.
- Must be able to build interpersonal rapport and maintain professional relationships.
- Proficient in data entry and have strong typing skills.
- Must be able to effectively multi-task in a fast-paced environment.
- Prior experience as a Customer Service Representative is preferred.
- Must be able to work independently and as part of a team.
- Strong written communication skills for clear and effective correspondence.
- Experience in a customer support role within the medical device or healthcare industry is a plus.
- Familiarity with order management systems or ERP software is preferred.
