PRIMARY RESPONSIBILITY:
Maintain all MIS reporting in the required time allotted. Ensure all participant data is reported timely and accurately into the MIS, including information required to be entered by other staff.
Assist the Director in maintaining and obtaining program statistics and information needed for reports, requests for proposal, program planning and other special projects.
Assist in the timely reporting of training and support service expenditures to the MWA for Saginaw County. Review all registrations and exits for eligibility with 100% accuracy.
Coordinate and assist with the management of actual hours for work participation reporting.
ESSENTIAL JOB FUNCTIONS:

Monitor all participant files for accuracy and completion for audit and state monitoring.

Process system queries and assist in analysis of the results.

Process reports that indicate work that needs to be completed for Career Managers and other staff.

Assist in training employees in navigation of the MIS system and proper input to MIS.

Troubleshoot hardware and software problems and contact the help desk when assistance is needed.

Assist staff with all technology needs, including the use of video projectors, microphones, etc., including setting up of rooms for trainings and meetings.

Enter all program participants in the MIS and other required web-based platforms and excel files.

Review and collect required documentation for monthly and quarterly data reviews.

Monitor and review all support services for all programs.

Coordinate follow-ups for WIOA Adult and DW programs for Saginaw, Midland and Bay Counties.

Provide backup to the Career Navigator and Receptionist when necessary.

Manage hours with Career Coaches to maximize activities for compliance with support services and work participation rates.

Enter data into the MIS such as support services, CASAS testing, participant hours, etc.

Maintain and organize active files for Saginaw County.

Ensure that inactive files are organized based on the program year for all programs.

Assist with follow-up phone calls for WIOA as assigned.

Add participants to Modern Campus texting platform.
MARGINAL JOB FUNCTIONS:

Coordinate the maintenance of administrative equipment such as copy machines, fax machines, postage machines, and telephone system.
QUALIFICATIONS:

Associate's degree and two (2) years prior office experience.

Prior Michigan Works experience with the MIS system will be considered in lieu of a degree or college coursework.

Experience in typing, word processing, record keeping, and the ability to handle and motivate the public effectively.

Experience using Microsoft Office products.
