Job Summary: Performs secretarial office duties for the elementary principal.
Essential Duties and Responsibilities:
- Receives and screens telephone calls, visitors and letters. Answers general questions and furnishes information to assist the principal. Routes or answers routine correspondence not requiring the principal’s attention.
- Communicates information from the principal to administrators, staff, students and parents regarding school policies, events, academic and non-academic matters.
- Maintains and updates Skyward computer database.
- Enrolls new students by assisting parents with the completion of required forms, arranging testing and assisting with placements. Makes enrollment packets for new families and provides building tours if requested.
- Processes records for students that have withdrawn.
- Forwards records for sixth grade students to appropriate school.
- Performs bookkeeping duties such as balancing internal accounts, preparing budget reports, banking, and deposits petty cash. Disburses, maintains, and audits the school accounts, including teacher supplies.
- Prepares routine letters, memos, requisitions and work order requests for the principal’s signature.
- Schedules conferences and vision and hearing clinics.
- Orders teaching supplies throughout the year and maintains textbook inventory.
- Assists ill or injured students in the health room, administers medications to students as ordered by a physician, calls parents, and prepares student accident reports.
- Prepares reports required by the school district and by county and state agencies such as Count Day, and November and February MCIR health department report, and OSHA report. Compiles statistics from various records.
- Arranges vision and hearing clinics for students.
- Prepares school directory, newsletters, staff bulletins, and other communications as required.
- Schedules substitute teachers, completes required forms, and completes absence reports.
- Assists principal with state mandated testing by assuring proper student identification, checking in and organizing testing materials, and returning material to the testing center.
- Handles many aspects of field trips such as collecting and depositing money, issuing permission slips, generating purchase orders to vendors.
- Regular and consistent attendance.
- Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Handbook.
Qualifications:
- Associates degree or equivalent in Business, Administrative Assistant or related field.
- Three years previous experience, preferably in a school setting.
- Knowledge of standard office procedures and technology
- Mathematical skill including addition, subtraction, multiplication and division
- Proficient computer and document skills.
- Excellent verbal and written communication skills.
- Ability to maintain a high level of confidentiality.
- Ability to perform duties with awareness of all district requirements and PPS Board Policies.
