Part-Time Position
GENERAL SUMMARY
Process and assist with CPL Finger Printing, process CPL’s, process Passport Photos, assists customers for a variety of functions with the vital records, back up the Chief Deputy Clerk and the County Clerk, accepts Farmland Agreement Applications, processes office mail and performs customer service duties. Process juror questionnaires, mailings and monthly copies. All reports for monthly cash, vitals, QVF and CPL’s.
ESSENTIAL DUTIES & RESPONSIBILITIES
The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.
- Greets and assists customers with vital records in person, online and via mail requests. Process Marriage Licenses, CPL’s (concealed pistol license) applicants, DBA (doing business as), Notary applications, passport photos. Balances cash, credit cards, and checks from cash drawer daily. Make deposits with treasurer’s office.
- Records agreements, contracts and Letters of Understanding signed by the Board of Commissioners. Creates and maintains records of oath.
- Scans and images documents as required and proofs data entry of documents.
- Indexes data from recorded documents into databases.
- Create Employee Badges
- Ensures indexed information is accurate and aids the public with searching and locating all related documents. Utilizing Apex Fidlar software to store and create Vital records, Court records, Election records and all Oaths.
- Accepts, sorts and distributes mail.
- Acts as notary and distributes/delivers reports and paperwork to the proper offices. Process the Monthly notary reports for MI SOS, process notary applications and notary bonds.
- Check petition signatures within QVF to determine the eligibility of their voter registration
- Assists customers with fingerprinting for CPL’s using the finger print machine through Michigan State Police. Handle all approvals, denials, suspensions, revocations and reinstatements of CPL’s. Maintain all monthly CPL reports, all mailings for CPL applicants, CPL reports all to Chief Deputy for monetary transactions due to the MSP monthly.
- Assist candidates with all election documents and filings
- Transfers files back and forth to Circuit Court
