ESSENTIAL DUTIES & RESPONSIBILITIES

Administrative Support
Maintains accurate, up-to-date records pertaining to employee incentive programs; answers incentive-related questions as needed; maintains records on all active and inactive employees
Prepares agenda and minutes for Civil Service Board meetings; serves as the principal administrative support for the Civil Service Board operations that has Charter Responsibilities (CSB)
Provides technical assistance to Human Resources staff, departments, and the general public as needed; performs various administrative duties, including paying invoices, ordering supplies, and coordinating events
Orders and maintains office supplies and equipment; receives and processes invoices; manages and distributes mail, correspondences, and documents; prepares, packages, and mails letters and other correspondences; copies, retrieves, and distributes files, records, reports, and other written documents as appropriate; prepares requisitions and purchase orders; may perform limited to complex inventory functions
Maintains a calendar of schedules, meetings, and events; plans, organizes, and coordinates meetings, special events, training, travel, appointments, and facility room use.
Recruitment & Selection
Reviews employment applications for seasonal employees; conducts Civil Service testing, coordinates interview schedules, including arranging interviews with candidates and interview panels
Posts job notices on the City’s website, job boards, and other relevant platforms; ensures job listings are kept up-to-date and accurate.
Conducts reference checks, background verifications, and other pre-employment screening activities
Tracks and logs employment requisitions.
Assist in sourcing candidates through various channels, such as job boards, social media, and professional networks.
Addresses candidate inquiries and acts as a point of contact during the recruitment process; ensures a positive candidate experience by providing timely communication and support throughout the hiring process
Data Management
Maintains electronic and manual filling systems according to prescribed departmental procedures
Helps identify areas for process improvement and streamline Human Resources operations.
Minimum Training and Experience
Required Education and Experience
High School diploma
--AND--
At least two (2) years of directly related experience.

Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities
