Position Overview: We're seeking an experienced and detail-oriented Office Manager to oversee all aspects of our office operations. This role is vital to ensuring the smooth day-to-day running of our business, managing accounting tasks, supervising office staff, and supporting internal and external communications. What You’ll Do:
- Accounting & Financial Management: Handle all accounting activities using QuickBooks and ServiceTitan, including payroll, accounts receivable (A/R), accounts payable (A/P), and bank reconciliations.
- Year-End CPA Support: Collaborate with our CPA to ensure accurate year-end financial reporting.
- Staff Management: Delegate tasks effectively to office staff, fostering a collaborative and productive team environment.
- Internal Communications: Manage staff relations and maintain open lines of communication within the team.
- Policies & Procedures: Organize, communicate, and implement office policies and procedures.
- Benefits Coordination: Oversee employee benefits, including medical, dental, 401(k), and worker's compensation.
- Service Dispatch Support: Assist with service dispatching when necessary to ensure customer needs are met efficiently.
- Customer Relations: Answer incoming calls, screen and transfer calls, and respond professionally to inquiries.
- Data Management: Create and maintain databases for new and existing customers, including queries, forms, and reports.
- Inventory Oversight: Monitor and maintain inventory of supplies and materials, ensuring availability as needed.
- Invoice & Purchase Orders: Manage incoming invoices, company spending, statements, and purchase orders.
- Process Improvement: Identify and implement ways to enhance customer service and office efficiency.
- Clerical Support: Perform general clerical tasks, including scheduling, copying, faxing, data entry, and filing.
- Apprenticeship Program Oversight: Keep track of our employee apprenticeship program in collaboration with Michigan Works.
What We’re Looking For:
- Previous experience in office management, preferably in HVAC, plumbing, or a similar service industry.
- Proficiency in QuickBooks and ServiceTitan (or similar accounting/service software).
- Strong leadership and delegation skills.
- Excellent communication and interpersonal abilities.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong problem-solving and organizational skills.
- High school diploma required, associate or bachelor’s degree preferred.
