Summary
Stifel's PearlStreet Investment Management team is seeking a full-time professional Client Service Associate. This role supports a team of financial advisors focusing on corporate retirement plans by providing a broad range of administrative and clerical support.
In this role, the Client Service Associate will assist in the production and maintenance of client service materials for both current and prospective clients. Responsibilities include managing materials for regularly scheduled client meetings, coordinating compliance oversight, maintaining client files, supporting multiple areas of data management, and providing general administrative support.
Essential Duties & Responsibilities
Answer incoming calls, gather relevant data from callers, and forward information to appropriate person to respond
Prepare numerous quarterly reports by updating and downloading data; setup and accurately maintain Excel spreadsheets; track changes and make ongoing adjustments to reporting documents
Submit, update, and track materials to the compliance department for proper approvals and maintain compliance records.
Prepare quarterly invoices and deliver to clients; track the receipt of payments
Follow quarterly procedures that include producing, printing and emailing materials to clients
Keep accurate records of client base, assets, investments and other relevant data
Offer support of ongoing projects, presentations, meetings, reviews, and client materials by using formatting, binding and creativity skills for current and prospective clients
Setup meeting schedules using an on-line scheduling system, and coordinate appointment calendars
Prepare meeting materials, which includes downloading reports from various websites, and record meeting notes and follow up items
Maintain office supply inventory for the team; anticipate supply needs.
Oversee office equipment for the team by completing preventative maintenance, troubleshooting malfunctions, and calling for repairs.
Provide IT troubleshooting and problem resolution through interaction with the IT department.
Contribute to team efforts by accomplishing related tasks as needed.
Qualifications
Proficient in Microsoft Excel, PowerPoint, Word, Outlook, Adobe Acrobat, Salesforce and ACT.
Strong computer skills and creativity.
Excellent organizational and time management abilities, with the capability to work effectively in a fast-paced and demanding environment.
Ability to manage multiple projects with exceptional accuracy.
Outstanding written and oral communication skills, essential for interactions with clients, team members, and other areas of the firm.
Ability to prioritize tasks and projects efficiently.
Detail-oriented with strong problem-solving abilities.
Reliable in follow-through and a strong team player.
Desire to learn advanced functions in Excel such as Pivot Tables, Macros, formulas (including Vlookup, Hlookup, Index, nested functions, IF functions, Conditional Formatting, groups, charts, clipart, smart art, sparklines, filters, objects, hyperlinks, and drop-down lists).
Education & Experience
High School Diploma or equivalent required, Bachelor's degree preferred.
2+ years Microsoft Excel, Word, PowerPoint, Outlook
Licensing & Certifications
Familiarity with the securities industry is a plus, but not mandatory; this position does not require financial industry licensing.
