The Administrative Manager will oversee administrative functions in support of Pinkerton Operations group including investigations, short- and long-term groups and risk advisory. This position cam be based anywhere (remote) in the United States.
Essential Functions:
Represent Pinkerton's core values of integrity, vigilance, and excellence.
Collect, review invoices, and collaborate with managers for approvals, corrections or with questions.
Review timesheets, expenses and collaborate with managers to track hours and case details.
Process and submit billing case summaries and communicate proper case management system procedures to maintain quality control.
Work with the finance department on month end closings on the operations side.
Develop and maintain standard operating procedures (SOP's) for case management, vendors and client billing on the operations side.
Review administrative SOP's with vendors and assist in troubleshooting issues and answering questions.
Assist with internal transactions between inter-country Pinkerton offices, such as billing, Cross Transfer Form generation, monthly tracking controls, etc.
Responsible for document control and archiving administrative items for operations.
Provide training to operations team on administrative functions procedures and billing procedures (within operations).
Work with IT to improve software development, escalating issues and making suggested improvements. Assist users with trouble shooting pertaining to the digital platforms that are used by the operations department.
Support vendor management with contractor agreement issues, questions, and renewals.
All other duties, as assigned.
Education, Experience, and Certifications:
Associate degree with a minimum of three years of administrative/accounting experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.
