| Essential Duties/Responsibilities: | Directly responsible to the Dean and provides positive support for the Dean both internally and externally.
Provide direct daily administrative support to the Dean, including screening incoming calls and greeting visitors as well as responding to routine email inquiries.
Prepare and/or edit, then distribute communications on behalf of the Dean.
Liaison with college department personnel and Office of Academic Affairs on procedures, practices and policies to ensure operations in the college.
Coordinates projects and works independently.
Schedule and coordinate Dean’s appointments, meetings, travel arrangements and oversee daily office activities.
Maintain budget materials and authorize routine expenditures and reimbursements; requires math and organizational skills.
Manage studio model pool, coordinate and schedule models to meet instructor needs, process applicable paperwork with accounts payable.
Work with HR to coordinate hiring processes for all KCAD Academic Affairs positions from start to finish.
Work with HR to create, process and track all employment transaction paperwork for all KCAD Academic Affairs positions.
Monitor faculty absence line and track, process, and report faculty absences.
Access, operate, and report from the University’s Student Information System (SIS) and Enterprise Resource Planning (ERP) system.
Coordinate and/or assist annual events and ceremonies.
Assist Faculty Evaluation Tenure Promotion and Sabbatical Committee as appropriate.
Develop administrative services policies and procedures to ensure smooth workflow in the college’s administrative offices.
Assist the Dean in maintaining deadlines as mandated by the President's office, collective bargaining agreements, accreditors, etc.
Manage and develop assessment and accreditation schedules, materials, communications, databases, and participate in assessment and accreditation procedures.
Oversee annual NASAD HEADS report.
Attend meetings in absence of the Dean.
Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
Support, promote, and develop University student enrollment and retention initiatives.
Participate in relevant professional development and training activities.
Interpret faculty, staff, and student problems and direct them to the proper resource.
Plan, organize, and make sound judgments and decisions.
Use computer software, including word processing, spreadsheets, databases, electronic mail, and enterprise applications.
Utilize the rules of proper grammar, correct spelling and punctuation, and correct arrangement of information.
Meet and collaborate with others to promote consistency, operational efficiencies, best practices and good communications.
