Vital Records Clerk I

Duties:

• Assists the County Clerk with clerical, bookkeeping, and secretarial duties for the Clerk’s Office and Circuit Court.
• Records, indexes, scans, and files vital statistics and official records; issues certified copies and processes online requests for birth, death, and marriage records.
• Handles marriage applications and licenses, notary applications and bonds, concealed pistol licenses, assumed name and co-partnership certificates, veteran’s cards, and related documents.
• Prepares, administers, records, and files oaths of office.
• Compiles the bi-annual county directory and prepares official notices, resolutions, contracts, correspondence, reports, and minutes.
• Files and indexes minutes of the Board of Commissioners and other boards.
• Posts cash receipts, balances daily and monthly accounts, and assists with accounting programs.
• Responds to requests for information, assists with election duties, and performs other administrative tasks as assigned.

Education and Experience:

• High school diploma or equivalent and two years of clerical experience.
• Vocational training in secretarial skills may be substituted for up to one year of the required clerical experience.

Special Requirements:

• Must possess and maintain a valid vehicle operator’s license with access to a reliable vehicle throughout the course of employment.
• A pre-employment physical, drug test, fingerprinting, and background check are required before employment.
• The ability to lift 35 to 40 pounds is essential to the successful completion of duties.
• May be assigned to work at any Berrien County Court location.

Required Knowledge and Skills:

• Considerable knowledge of modern office and bookkeeping practices, with a working understanding of legal requirements for handling official documents and county operations.
• Proficient in Microsoft Word, Excel, PowerPoint, Access, and desktop publishing, with strong attention to detail and accuracy.
• Skilled in operating office equipment, including computers, credit card machines, and copiers.
• Able to interact effectively and professionally with officials, employees, and the public.
