Position Summary
The Secretary II will provide support to the College of Social Science Dean’s Office of Research and Strategic Initiatives. The Secretary II will serve as a point of contact for internal and external constituencies on matters pertaining to the Office of Research and Strategic Initiatives, including interaction with administrators, staff, faculty, and the public in order to represent the supervising administrator. The employee will provide secretarial support for the Senior Associate Dean of Research and Strategic Initiatives. Duties include, the Secretary II completes a broad range of secretarial tasks including: calendar and appointment management for the Senior Associate Dean, composing and preparing correspondence that sometimes may be confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Take meeting minutes, and sort, review and distribute mail. Assists in creating methods for smooth communication processes between the Dean’s Research and Strategic Initiatives Office, academic departments, programs and research centers. Orders supplies, coordinates events and business meetings. Ensures that College and University procedures and policies are followed and to keep administrators informed. Reads and summarizes materials to keep the Senior Associate Dean informed of pertinent events and information. Organizes and maintains college files and databases. Demonstrates credibility, competence, trust with College’s senior management staff and supporting offices. Prioritizes conflicting assignments; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with coursework in typing and shorthand; one to three years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database, desktop publishing, calendaring and/or presentation software; typing and filing; or an equivalent combination of education and experience.

Bachelors degree; ability to handle multiple complex schedules; knowledge of academic management structure; ability to work independently and with a team with confidence; takes initiative to be proactive. Strong familiarity and experience with university policies and procedures; familiarity MSU accounting guidelines and successful experience with MSU administrative business systems; sensitivity to and appropriate handling of confidential information; detail-oriented with a high degree of accuracy, resourcefulness, and efficiency; demonstrating excellent communication and interpersonal skills; ability to interact with constituents in a timely, courteous, and professional manner; demonstrates work ability that includes a focus on service, problem solving, teamwork, flexibility to change, a positive attitude and a desire for continuous learning. Comfortable using and learning new technology, software applications, and processes.
