Receptionist & Administrative Assistant
The Receptionist & Administrative Assistant provides telephone nd administrative support for the Branch, specific Branch departments, and regional teams.
In this role, you will:
Process both incoming and internal phone calls as well as page requests for the region.
Greet and direct customers, vendors, and other visitors.
Review and update employee telephone listings and distributes to appropriate branch personnel.
Import and index documents in Ephesoft / Document Management.
Serve as general coordinator for the regions departments with regard to absences and vacations, in order to maintain the regional calendar.
Handle the ordering, tracking, and stocking of all office supplies.
Other duties as assigned, that may be branch-specific. For example, receptionists may:
Reconcile counter cash drawer
Enter various branch expense invoices into the AP Sharepoint system
Review Open Orders and assist with freight billing
Coordinate food for training events held at the branch
Coordinate conference room booking
Manage incoming, outgoing, & interoffice mail, including sorting, delivery, and postage
To be successful in this role, you will have/be:
High School diploma or equivalent required.
6 months administrative experience preferred.
Intermediate PC skills with MS Office Products required.
Proven communication skills, written and verbal.
Ability to work with minimal supervision and with high confidentiality.
This position reports directly to the Operations Support Manager or Customer Service Manager
