Administrative Assistant

Duties:

• Performs advanced administrative tasks involving highly confidential internal and external information.
• Manages incoming calls and visitors, provides information, and directs inquiries appropriately.
• Handles daily mail distribution and supports hiring processes by reviewing applications and preparing payroll documents.
• Oversees compliance with federal CDL requirements, including database maintenance and query management.
• Maintains the Road Department’s Policy and Procedure Manual and produces print-ready documents.
• Collaborates with the Communications Coordinator to prepare weekly reports.
• Manages office supplies, prepares bid documents, and provides backup support to staff as needed.

Educations and Experience:

• Associate degree in a related field, and two years of progressively more responsible clerical/secretarial work; OR
• High school diploma or equivalent; and a minimum of four years of progressively more responsible clerical/secretarial work.

Required Knowledge and Skills:

• Experienced in the operation of standard office equipment and software, such as Microsoft Word, Excel, and PowerPoint.
• Strong written and verbal communication skills with the public, agencies, and staff.
• Highly organized with attention to detail and record accuracy.
• Able to prioritize tasks efficiently under tight deadlines. Capable of maintaining professionalism and confidentiality, using sound judgment and initiative.
