The administrative coordinator will be the principle administrative support for the department to which they are assigned and serve as general office coordinator for the assigned department. The administrative coordinator will be the primary source of various departmental reports and will maintain departmental files. In addition, the administrative coordinator will act as assistant to the directors and managers in processing the business of the department.
Salary: 20.19-24.73 hourly.
Essential Job Duties:
- Provide administrative support for the Director(s) the incumbent is assigned to including correspondence; expense reporting; check request and purchase order processing; travel, meeting planning and arrangements; report writing; database and word processing assignments; and filing. Similar support may be provided to department managers as instructed by the Director.
- Coordinate on-site and off-site meetings for departments, committees, and workgroups, and attend as assigned. Record minutes. Reserve rooms, set-up, order food, and clean-up. Facilitate department tactical meetings.
- Complete data entry, maintain departmental databases, and verify accuracy.
- Maintain current and accurate list of department specific external vendors, including applicable records and documentation.
- Assist in the development and assembly of training materials for the department.
- Process and distribute departmental mail and maintain electronic and/or physical filing system.
- Work with other departments to meet departmental goals.
- Track changes and updates to regulatory standards applicable to the assigned department(s).
