JOB SUMMARY/ACCOUNTIBILITY:
The Assistant Operations Manager works in collaboration with the Senior Manager, Operations to support the Center Managers to assist them in meeting the needs of the children, families and staff. This also includes having a strong commitment to Head Start’s mission of ensuring all children and families are school read.
GENERAL RESPONSIBILITIES:
- Attend all meetings and trainings, as requested, to keep abreast of trends in various areas.
- Gather and summarize monitoring results and action plans.
- Establish and implement procedures for the ongoing monitoring of Head Start center operations and systems of efficient and effective record-keeping and reporting.
- Oversee major workforce and resource decisions for the Head Start centers.
- Work with the QEIS Specialist in monitoring licensing reviews, MiRegistry, and securing personnel records.
- Work with the T/TA Specialist in coordinating Center Manager training.
- Work with the Operations Coordinator to manage other systems and portals, including those for work orders, inventory, and purchasing.
- Work on the Self-Assessment team.
- Assist in creating goals and objectives.
- Regularly visit centers and conduct checklist observations for health and safety, record keeping, and monitoring plans.
- Work with the Monitoring Manager on projects.
- Work with ERSEA on monitoring attendance.
- Participate in program sponsored activities and community events, including recruitment.
- Ensure compliance with all performance standards and regulations.
- Maintain adequate safeguards for the privacy and confidentiality of information.
- Assist in interviewing Center Manager applicants.
- Stay abreast of current issues and trends by participation in grantee-sponsored training, center pre-service and in-service trainings, and other continuing education, career and professional development opportunities; read and review regulations and other resources.
- Meet regularly with the Senior Operations Manager.
- Support the Centers during the absence of the Center Managers.
- Perform other duties as assigned.
POSITION QUALIFICATIONS:
- Bachelor’s or Advanced degree in early childhood education or child development.
- Must meet other grantee and licensing requirements.
- Excellent computer skills, including proficiency with Microsoft Office and the ability to become familiar with agency-specific programs and software.
- Demonstrate evidence of good professional habits and attitude.
- Excellent written and verbal skills.
- A proactive approach to problem-solving with strong decision-making skills.
- Strong knowledge of Head Start Program Performance Standards, State of Michigan Childcare Licensing Regulations, and state and federal regulations pertaining to child abuse and neglect.
- Effective in an environment of cultural diversity; comfortable in a collaborative, team-based work setting.
- A minimum of three years of experience as a Center Manager.
- Reliable transportation is required.
- Ability to compile and analyze data to make effective recommendations and decisions.
- Cooperatively and effectively works with all B-5 staff, is highly organized and pays close attention to detail.
- Ability to be persuasive and tactful in controversial situations.
- Ability to respond to and remain calm in an emergency or a crisis situation .
- Work cooperatively with the Operations Coordinator.
- Must pass requirements for licensing including finger printing, criminal clearances, physical and drug screening.
WORKING AND ENVIRONMENTAL CONDITIONS:
Works in a normal office environment with usual pressures of managing personnel and dealing with time constraints. Because of multiple sites within the department and the need to meet with others within the community, it is common to drive to several locations, sometimes in inclement weather.
