The City of Kalamazoo's Brownfield Redevelopment Authority is seeking a part-time project assistant to support brownfield redevelopment projects. This position is within the Planning Division, which is part of the Community Planning and Economic Development (CPED) Department and will report to the Sustainable Development Coordinator. The role will collaborate with Community Investment and other divisions and administrative staff. The Planning Division and Community Investment Division work collaborative to implement the City's Brownfield Program. Staff serve as the liaison to the Brownfield Redevelopment Authority and their Board of Directors to conduct meetings and complete Authority business.
This customer service-oriented position will assist the Sustainable Development Coordinator with daily activities and support Authority meetings. The City's Brownfield Program and staff work with real estate developers, consultants, state agencies, and other local partners on projects that catalyze redevelopment of brownfield property. The part-time position requires strong organizational, communication, and reporting skills. The position will hold consistent office hours for 20-hours per week during regular CPED Office during, Monday-Friday 8:00 a.m. to 5:00 p.m. Work schedule may be flexible but require early morning hours on Thursdays starting at 7:00 a.m. to prepared for and attend Authority meetings.

Examples of Duties
- Process and organize incoming brownfield applications and manage accompanying documents, invoices, files, and communications with prospective developers and projects.
- Assist staff and the Board of Directors with all committee meetings, regular board meetings, and public hearings, including meeting scheduling, public noticing, agenda management, minute taking, and document follow-up after each meeting.
- Assist staff in managing state grants, including intake and organizing of reimbursement documentation, reporting, project accounting and tracking, and processing developer payments, as required.
- Work collaboratively with the Brownfield Administrative Team through the Brownfield Plan life cycle, including organizing and processing project annual reports, project monitoring, processing annual Tax Increment Financing (TIF) payments, recording data with tracking system, and managing other financial forms and tasks, as needed.
Essential Qualifications
- Strong attention to detail and organizational skills (required)
- Knowledge of accounting principles and bookkeeping, grant management, budget reporting, public administration, and/or records management
- Excellent computer skills, including experience with Microsoft Office Suite, Outlook, and Teams
- Experience with other project management software and tools, property and tax databases, and/or reporting portals, such as Asana, Salesforce, BS&A, Eden, Civic Clerk, ArcGIS or other mapping software
- Ability to manage multiple tasks and projects in different phases at the same time, manage meeting responsibilities and minute-taking in real time, work independently to complete assigned tasks
- Good interpersonal skills and positive attitude with a strong work ethic toward customer service
Acceptable Training and Experience
- Minimum 2 years relevant work experience
- Associate's degree or higher (preferred), or any equivalent combination of experience and/or training
- Familiarity with real estate transactions, real estate and/or brownfield development, municipal finance, government and/or public board procedures
- Experience or training on grant monitoring and reporting, financial reporting, municipal accounting transactions, and/or public administration tasks
