Job Description Summary
Perform clerical and administrative support functions for the Human Resources Information Systems department. Provide excellent customer service to a wide variety of customers. Positively represent the department and respond effectively via phone, in person, and electronic communication to the needs of all customers, including but not limited to, faculty, staff, students, new employees, applicants, and visitors.
Essential Duties & Responsibilities (other duties may be assigned)
1. Process all information into the Banner system to meet deadlines necessary for proper payment to University employees accurately and in a timely manner.
2. Analyze and enter data in the Banner system from all status forms which include but are not limited to: Position Authorization Forms, Employee Status Change Forms and Short-Term/Casual/Seasonal Employment Authorization Forms.
3. Process all Electronic Personnel Action Forms (EPAF's) submitted by departments across campus for Student and Non-Student personnel actions.
4. Review, verify and enter confidential biographic data into Banner on University employees.
5. Run daily edits and review/return for correction to originators EPAF's with possible errors.
6. Assist with the annual raise process using Salary Planner.
7. Assist with Position Management process within HRIS.
8. Establish and maintain confidential personnel files for all non-student employees, such as employee records and related data.
9. Maintain data integrity through use of available edits.
10. Responsible for any entries in the Banner database concerning employee earnings, including Employee Bonus Programs, Taxable non-cash earnings and Short Term Disability.
11. Independently resolve problems and handle projects with little or no supervision. Analyze and recognize when a problem needs to be directed to specific personnel for resolution.
12. Maintain a working knowledge of the Banner system and provide accurate and efficient data when requested.
13. Assist campus departments with proper employment processes and procedures.
14. Backup for creating M-number and User ID's in Banner
15. Answer routine questions or provide information on established departmental programs, services or processes.
16. Assist with special projects, functions, and events.
17. Other duties as assigned.
18. SUPERVISORY RESPONSIBILITIES: Functional supervision may be exercised over student office assistants.
19. Integrate safety practices into daily activities.
20. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.
Required Education, Certifications, Licensures (minimum requirements)
* High school diploma.
Required Experience (minimum requirements)
* Five years' office/clerical experience.
* Five years' experience using personal computers and basic software packages including word processing and database/spreadsheet applications.
* Experience providing excellent service in a customer service role.
Desirable Education and/or Experience
* Experience with the Banner system.
