Job Description Summary
The Biomedical Engineering Department Coordinator is responsible for the administrative and business support of the department. This position must thoroughly understand the University's procedures and how the various administrative offices interact, and take the initiative to make sure the Department's needs are addressed. This position must maintain cordial relationships with the Advisory Board, donors, industrial partners, alumni, and the families of students.
Essential Duties & Responsibilities (other duties may be assigned)
1. Work independently to manage workflow, develop office procedures, set performance standards, track and manage operational deadlines, and establish organizational protocol for office duties and services. Maintain a professional, efficient, safe, and welcoming office environment for employees and visitors. Adapt processes and procedures to the diverse roles and evolving needs of the department. Identify and pursue ways to improve the efficiency and effectiveness of administrative procedures.
2. Manage, authorize, and approve departmental payroll including department time entry, preparation of EPAFs, web time entry and approval proxy for the chair, reallocations, and overrides as one of the department liaisons with university Payroll and Accounting Services offices.
3. Assist with Faculty reappointment and promotion/tenure
4. Oversee faculty searches including advertising and scheduling interviews and complete equal employment opportunity documentation.
5. Manage hiring process of international visiting scholars and post-doctoral fellows.
6. Oversee all departmental indexes including research accounts. Process budget transfers, check requests, petty cash, and expense reallocations.
7. Manage faculty salaries for research compensation from sponsored projects and summer salary.
8. Analyze information and independently resolve administrative problems; resolve, escalate, or route incoming requests appropriately.
9. Anticipate the operational needs and deadlines of the department and the chair and work to assist in the execution of short- and long-terms goals of the department.
10. Manage ASPIRE Space database with necessary information for all department space.
11. Utilize BANNER, WebFocus, Perceptive Content, and ASPIRE to track, access, or report department financial and administrative data. With the chair, identify and prepare routine and ad hoc reports that assist in the operation and reporting needs of the department.
12. Serve as Grad Assistant for the department.
13. Assist with academic course scheduling and teaching assignments.
Required Education, Certifications, Licensures (minimum requirements)
Bachelor's degree or an equivalent combination of education and experience from which comparable knowledge and abilities have been acquired
Required Experience (minimum requirements)
1. Experience with advanced computer software programs
2. Experience working with budgets, finances, payroll, and accounting
3. 4 years of experience working with a diverse group of people
4. Experience in creating, planning and executing events
Desirable Education and/or Experience
Experience working in an academic department.

Work Environment and/or Physical Demands
The work environment is that of a fast-paced typical office and/or classroom setting. The noise level in the work environment is usually low to moderate.
