ADMINISTRATIVE ASSISTANT
Job Overview:
APEX Controls is seeking a full-time Administrative Assistant to provide multiple support functions, data entry, and accounting system support as well as assist in planning special events and general office support for our growing team. We are looking for a detail-oriented professional who excels at multitasking. This position will be responsible for supporting office inventory control, invoicing, billing, administrative tasks, and assisting with special events.
Roles and Responsibilities:
- Coordinate with facility management and office equipment vendors, including cleaning, catering, trash removal, copy, and security services.
- Maintain office supplies inventory levels.
- Greet and sign-in visitors, guide them to the appropriate location, and make them feel at home.
- Answer and direct phone calls.
- Handle mail and incoming/outgoing shipping and receiving activities for admin staff, including FedEx and UPS shipments.
- Perform basic bookkeeping tasks.
- Oversee company apparel program.
- Coordinate with HR and management staff to plan corporate events, ranging from weekly in-house staff lunches to quarterly, company-wide meetings.
- Coordinate customer sales meetings/events.
- Organize and maintain office operations and procedures.
- Coordinate with IT for all office equipment.
- Assist in the coordination, direction, and fulfillment of special projects.
Your Qualifications:
- Detail-orientated and proficient in processing routine transactions.
- Possess effective verbal and written communication skills with customer service orientation.
- Must be able to prioritize in a fast-paced, multi-task environment.
- Ability to work independently with minimal supervision and demonstrate a high level of self-initiation and direction.
- Must have the demonstrated ability to effectively communicate, cooperate, and collaborate with multiple levels of customers, employees, vendors, and suppliers.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite.
- Experience with data entry into basic accounting software. Sage Accounting-specific experience is a plus.
- Ability and passion to add fun and improve company culture.
Education and Experience:
- At least one year of bookkeeping experience is preferred.
- At least three years of office administration experience is required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Valid driver’s license with the ability for occasional local travel.
