Job Description

What you will be doing:

Providing executive administrative assistance, such as writing, editing, proofreading and or drafting, emails, presentations, memos and contracts for the executive staff and senior leaders.
Manage the executive's day-to-day calendar as needed, including making appointments, travel arrangements and prioritizing the most sensitive matters.
Maintaining comprehensive and accurate corporate records, documents and reports
Organizing meetings, including scheduling, sending reminders and organizing catering when necessary
Supporting teams by performing tasks related to organization and strong communication- update intercompany systems. (ex. RedeApp, AppSpace)
Answering phone calls, schedules meetings and support visitors.
Providing continual support to visiting customers including providing lunch, IT access, and other requests.
Receiving and distributing mail to internal personnel.
Supporting departments with various administrative tasks.
Maintain office supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
Supporting leaders with expense reports and monthly credit card statements.
Providing continuous communication with team members to ensure efficient work flow.
Providing timely and proactive help and support to a passionate team.

Executive Leadership, Customers, Purchasing, IT, Human Resources, Accounting, General Manager, Production, Program Managers, and Senior Leadership.

Competencies

High school diploma or equivalent; advanced education preferred
Minimum of 5 years of administrative assistant experience
Ability to act as gatekeeper and escalate relevant information to executives as needed
Exceptional attention to detail
Strong ability in Microsoft Office Suite software
Ability to treat confidential information with appropriate discretion
Ability to serve, prioritize, and multi-task to support multiple areas
Superior organization skills and dedication to completing projects in a timely manner
Excellent communication skills with both internal and external customers and vendors
Computer skills and data entry experience

Shift:

Monday – Friday, Business hours
