Description:
POSITION PURPOSE
Utilizes knowledge and skills of FirstChoice operations coordinate the development, resource allocation and implementation of various projects within the department. Provides project/administrative support to FirstChoice departmental operations and initiatives. Identifies opportunities for improvements and involves the appropriate stakeholders. Contributes to the development of departmental policies and procedures. Utilizes independent judgment and problem-solving skills to address project hurdles.
ESSENTIAL FUNCTIONS

Develops and implements project work plans, identifies and monitors project resources, develops and monitors project budgets, defines task requirements, project milestones and deliverables to ensure completion of objectives within established project scope, budget and schedule.
Assists in maintaining and managing stakeholder, vendor and consultant relationships.
Communicates and collaborates with staff, management and vendors regarding projects and related issues. Gathers necessary information to facilitate prompt and effective responses. Makes independent decisions free from immediate supervision regarding project issues after comparing and evaluating possible courses of action. Acts as a project resource/consultant to colleagues and vendors.
Performs ongoing quality monitoring through data collection and analysis; implements action plans. Identifies process improvement opportunities or other enhancements to improve efficiency and effectiveness within practices, processes and projects.
Coordinates and monitors day-to-day office operations, which may include reporting staff TIS issues, maintaining records and equipment, organizing activities, creating and updating forms, ordering supplies, troubleshooting, coordinating and leading meetings, presenting information, arranging travel, preparing high quality documents for communication and presentations, and maintaining processes and policies.
Provides administrative support to department through management of and accountability for complex programs with minimal direction from supervisor.
Coordinates and facilitates multiple diverse projects, which may include facilitation and coordination of special events; engages with key stakeholders to participate on work teams and support strategic projects, programs and initiatives.
Researches information, compiles statistics, gathers and calculates various data as requested; prepares ad hoc reports, summaries, or replies to inquiries by selecting relevant data from a variety of sources.
Serves as subject matter expert for relevant systems and databases. Serves as a liaison with vendors/consultants as needed.
Assists in developing departmental goals and business objectives to align with the organization's strategic plan.
Promotes teamwork by keeping others informed and working to accomplish team objectives and projects.
Performs other related duties as assigned.
Maintains a working knowledge of applicable Federal, State, and local laws and regulations, Trinity Health's Organizational Integrity Program, Standards of Conduct, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical, and professional behavior.
MINIMUM QUALIFICATIONS
Must possess a comprehensive knowledge of project management and Hospital Operations, as normally obtained through an Associate's degree in HealthCare, Human Resources, Business or a related field, with two (2) to three (3) years of administrative/project management experience or an equivalent combination of education and experience.
Bachelor's degree in HealthCare, Human Resources, Business or a related field with four (4) years of administrative/project management experience in a relevant capacity is preferred.
Strong organizational, project management, and multi-tasking skills.
Strong interpersonal and customer service skills. Ability to work in a team environment providing support to multiple positions.
Demonstrated ability to manage multiple, concurrently running projects and adapt to changing deadlines, competing priorities and unexpected assignments.
Excellent attention to detail.
Ability to make sound decisions within the scope of position.
Ability to work to work independently and with minimal supervision. Ability to resolve problems and complete assignments accurately and promptly.
Must possess strong analytical, qualitative, evaluative and problem-solving skills and abilities.
Skilled at using standard desktop, Windows-based applications. Proficiency with Office 365 package, including Word, PowerPoint, Excel, and Visio.
Must be comfortable operating in a collaborative, shared leadership environment.

Hearing sufficient for extensive telephone and face-to-face communication.
Manual dexterity sufficient to operate a computer keyboard.
Remain stationary for extended periods of time, extensive computer work; occasionally transport objects weighing up to 25 pounds.
Ability to work effectively and efficiently under tight deadlines, high volumes, and multiple interruptions.
Must be able to travel to the various Trinity Health sites (up to 5%) as needed.
