BASIC FUNCTION AND RESPONSIBILITY
The University of Michigan, School of Nursing (UMSN) is seeking an Administrative Assistant Intermediate who will provide administrative clerical support to the Associate Dean, faculty, and program manager in the Office of Global Affairs. This position requires a broad and comprehensive understanding of the importance of global education and collaboration to perform a variety of administrative activities, and the skill and knowledge to implement and follow organizational policies and procedures. The Administrative Assistant Intermediate will provide professional and administrative support of the day-to-day operations in the Office of Global Affairs.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES
- Provide a full range of administrative support for the Associate Dean and the Office of Global Affairs; serve as the front-line resource of information to faculty, students, staff, and internal and external constituencies whether in person, on the phone or email.
- Develops and is responsible for office schedules, including maintaining the calendar and appointment schedule for the Associate Dean for Global Affairs, work plans, timelines and determines resources needed to meet goals and deadlines.
- Monitors the status of projects within the Office of Global Affairs to ensure completion of milestones from initiation to delivery and to keep the leadership informed of progress and any deviations.
- Prepares presentations and correspondence related to the Office of Global Affairs and the PAHO/WHO Collaborating Center https://nursing.umich.edu/global/world-health-organization-collaborating-center.
- Facilitates teamwork and workgroup meetings.
- Coordinates the Student Voices monthly meetings with the Associate Dean.
- Schedules and coordinates pre-departure meetings for students and faculty traveling abroad.
- Coordinates monthly newsletter with the Associate Dean for Global Affairs; is responsible for social media presence (e.g., twitter, Instagram, etc.) from the Office of Global Affairs.
- Coordinates logistics and orientation for all visiting scholars and short-term international visitors; coordinates orientation and on-going support for international students.
- Coordinates Memorandums of Understanding (MOU) with International Partner Institutions.
- Event Planning (virtual and in-person events) and Communications.
- Coordinates financial accounts and procurement for the Office of Global Affairs.
- Facilitates planning and coordination of the monthly Office of Global Affairs Student Forum for students in the Global Health Concentration and Global Health Minor.

NECESSARY QUALIFICATIONS
Education and Experience:
*Bachelor’s degree is preferred; or equivalent combination of education and experience is necessary.
*A minimum of five (5) or more years of progressively responsible administrative experience (preferably in higher education).
*Candidate must have excellent interpersonal skills, organizational and presentation skills, with the ability to receive and convey information clearly and concisely for various mediums.
*Demonstrated proficiency at the expert level with Microsoft Office products (Word, Outlook, and PowerPoint), and especially considerable expertise in Excel including the ability to analyze data in Excel is required.
*Deep knowledge and/or personal experience of global engagement desired.
*Fluency in Spanish desired.
