Summary:
Acts as an agent for Mary Free Bed Rehabilitation Hospital in the areas of pricing analysis purchasing, receiving, invoice reconciliation, distribution and administrative support to the Director of Supply Chain, Operations & Sustainability.

Essential Job Responsibilities:
- Coordinates the tracking and receiving of all inbound packages for the organization, verifying accurate P.O. numbers, documents the receipts in Great Plains. Follows up with vendors and departments to ensure packages are collected efficiently/effectively.
- Meets with primary and outside vendors as needed and prepares cost comparisons for items requested. Processes necessary paperwork for new establishing new accounts.
- Monitors and maintains appropriate inventory levels. Facilitates periodic and fiscal year end inventory audits.
- Receives, stores, and issues inventory.
- Maintains appropriate inventory level of supplies.
- Maintains an accurate and current filing system of purchase orders and packing slips and posts prices for inventory items.
- Matches invoices with packing slip and purchase order, tags them and creates and posts batches using the accounting software for processing. Collaborates with Supply Chain Team by sharing cost savings opportunities, implementing processes to reduce waste and improve service
- Processes product returns and monitors credits for proper invoicing.
- Completes projects as requested by the department leader, including product research, price analysis and negotiation.
- Provides assistance to the Director of Supply Chain to ensure smooth operations including but not limited to:
- Prepare agendas, agenda materials and takes minutes as requested for department meetings and others as requested. Arrange meeting rooms, meals, refreshments if necessary and any audio-visual equipment required.
- Assist with management of personal calendars using discretion as to priorities and effective use of time
- Review and prioritize incoming and outgoing mail. Obtains and adds background material to facilitate action and maintains appropriate follow up.
- Assist with and respond to emails and calls to department Leadership, referring when possible to appropriate individuals on the team and facilitate action and appropriate follow up.
- Maintain files and security of department records and confidential information.
- Gather and prepare data and complete special reports and surveys as requested or required by various agencies and institutions with which the department is associated.
- Coordinate and schedule recurring meetings with directors, managers and outside agencies necessary to the ongoing management of the department
- Work in collaboration with outside agencies and institutions in the initiation and development of department projects, relationships and associations
- Oversee department policies and procedure maintenance. Maintains appropriate electronic versions in Policy Center

Essential Job Qualifications (Knowledge, Education, and Training Requirements):
- Associates degree or greater
- Adept with computers in multiple applications (MS Word, Excel, and Office Outlook) are essential.
- Significant relevant work experience in a high-level office management position with a minimum of 2-4 years' experience. Proficient language and grammar skills with the ability to compose, edit and proof letters, memos, minutes and other correspondence.
- Ability to type 60 words per minute.
- Demonstrated organization and problem-solving skills to independently manage multiple projects simultaneously, with exceptional accuracy and attention to detail.
- The ability to work with people of diverse backgrounds.
- The competence to make independent decisions as well as preserve the confidentiality of special matters.
- Clear and effective verbal and written communication skills.
- Outgoing, driven, with enthusiasm for and proven ability to work in a team environment, strong multi-tasking ability
- Physical Demands:
- Able to exert up to 50 pounds of force occasionally (up to 1/3 of the time)
- Able to lift, carry, push, pull, up to 50 pounds occasionally
- Able to sit for the majority (1/3 - 2/3) of the time, but may involve brief periods of time involving walking or standing.
- Able to use keyboard frequently (1/3 to 2/3 of the time)
Other Preferred Job Qualifications:
- Two years purchasing, sourcing, logistics and/or business experience.
