ENTRY REQUIREMENTS High School graduate required with a minimum of three (3) years secretarial and/or office experience or comparable formal education. At least one-year hospital experienced desired. Demonstrates energetic, professional and friendly appearance. Possesses outstanding interpersonal skills, communication skills and excellent telephone skills. Demonstrates ability to effectively handle sensitive and high stress situations. Demonstrates excellent grammar, spelling, formatting and punctuation skills. Demonstrates considerable initiative and ability to work independently. Medical Terminology recommended. Position requires a high degree of confidentiality. May be subject to elements of time pressure, constant interruption of activities and noise. Must have basic typing ability (30 wpm) and good mathematical skills. Word processing skills required. Microsoft Office package literacy required with demonstration of using Word, Excel, Publisher and PowerPoint and knowledge in Outlook required. ORGANIZATION: Under the supervision of the Director or Managers of Surgical Services; that is, the position receives its instruction from agreed upon requirements and is checked for results rather than for exact conformance to detail. SPECIFIC DUTIES: Supports the Mission, Vision and Values of Munson Healthcare. Embraces and supports the Performance Improvement philosophy of Munson Healthcare. Promotes personal and patient safety. Uses effective customer service/interpersonal skills at all times. Coordinates the operating of Outlook and also Microsoft Office Package with all users within Surgical Services, demanding a close working relationship with users and management of those departments. Such coordination efforts include user training, troubleshooting research, system changes, and insurance of optimal system performance. Responsible for writing and maintaining help guidelines for Surgical Services operation, subject to approval of the Director of Surgical Services. Key system users/managers will be involved in procedure development, including review by Information Systems. Maintain liaison with Information Systems. Work with staff on an ongoing basis to assure maximum information system benefit as it relates to Surgical Services. May be assigned special projects, usually in the area of information gathering, such as implant usage and developing spreadsheets to reveal an accurate reflection of cost and volume. Maintains patient confidentiality and advocates to all staff. Interprets priority of work in keeping with departmental goals and the needs of surgical services users. Creates and organizes data into either Microsoft Excel or PowerPoint. May also create custom reports as needed. Works with Surgical Services Medical Director, Surgical Director, Director and Managers to create documents, proposals, etc. requiring advanced knowledge of Word, Excel, Publisher and PowerPoint. Supports Surgical Services Medical Director, Surgical Director, Director and Managers with overall office coordination; schedules interdisciplinary, multi-unit meetings, may develop agenda or take minutes. Coordinates Surgical Services Education/Travel. May be assigned to enter payroll or scheduling data and run reports requiring advanced knowledge of Kronos. Performs other duties and responsibilities as assigned.
