What we’re looking for:
Oxford Companies is currently seeking an exceptional individual to fill our available Brokerage Assistant position. This position is responsible for providing administrative and leasing support to the Commercial Brokerage team.
Job Responsibilities:
- Coordinate with Asset Manager to schedule meetings, calls, and showings with outside brokers, and tenants/buyers. Follow up with appropriate parties as necessary.
- Coordinate, order, and distribute department marketing materials. Coordinate with marketing department as needed.
- Assist with matterports, floor plans, pictures, and flyer creation.
- Manage and update online property listings with accurate information through various web sites.
- Manage internal lease and sale deal tracking spreadsheets and web sites.
- Manage departmental and multi-departmental to-do lists—creating, distributing, and following up as necessary.
- Responsible for meeting minutes and the circulation of the same within 36 hours.
- Assist with relevant real estate documents, including but not limited to: prospecting letters, LOIs (Letter of Intent), RFPs (Request for Proposal), Purchase Agreements, proposal comparisons, Commission Agreements, amendments, and leases.
- Complete and submit lease request forms to legal department, and follow up and facilitate as needed.
- Ensure accurate and timely leasing hand-off to multiple departments as needed.
- Create and manage potential leads lists to distribute marketing materials.
- Act as back-up to Leasing Associates to show spaces for lease to current and potential tenants as needed.
- Coordinate the renewal schedule of current tenants within the Oxford portfolio to ensure timely contact. Follow up with Leasing Associate and/or Asset Manager as needed.
- Facilitate and communicate with architects, construction team and legal team regarding leasing deals as needed.
- Submit work orders for properties as needed.
- Maintain organization of department’s digital files including the historical tracking document for completed lease deals.
- Create and organize tour packages for showings with outside brokers and tenants/buyers.
- Organize and coordinate Oxford Commercial events.
- Provide additional support to the Commercial Leasing team as needed.
Qualified Candidates Must Have:
- Bachelor’s Degree and 2 years related experience, or equivalent.
- Demonstrate strong oral and written communication skills; ability to correspond in a professional, courteous, businesslike manner and speak effectively before groups of customers.
- Ability to read and interpret documents such as rules & regulations, lease paperwork, operating instructions, and procedure manuals; Ability to write routine reports and correspondence.
- Ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action.
- Demonstrate the ability to support and contribute to a team environment.
- Strong ability to multi-task with multiple projects and deadlines in a “high volume” work environment. Demonstrate strong organizational skills with ability to prioritize tasks, and track and follow up on multiple concurrent items.
- Ability to use Adobe Creative Suite applications preferred / a plus
- Valid driver’s license and automobile insurance coverage; ability to provide own transportation.
- Ability to perform all job responsibilities with a positive attitude.
