Position Overview
The employee performs a wide variety of complex clerical, secretarial, specific department work or data entry tasks. The tasks will include scheduling training and office operations for a major administrative/training department, budget preparation/ reconciling/reporting, compiling and analyzing data and preparing reports. The employee may be responsible for prioritizing work and directing/training lower level employees or be expected to efficiently utilize several computer software programs and demonstrate proficient typing.
In summary, an Administrative Specialist exhibits the ability to interpret and analyze a wide variety of advanced departmental/functional/discipline specific information/problems, evaluate alternative courses of action, and recommend appropriate actions to resolve the complex issues/problems.
The employee performs calculations and/or analyzes situations/data to determine applicable methods, procedures or techniques in relationship to standardized practices, rules and regulations.
The position is for an opening which is available at the Marshall Training Center.

This role will be at the Marshall Training Center and work-from-home until our leadership team has determined it's safe to resume work in the office on a more full-time basis.
Job Responsibilities
- Performs advanced work in Electric Operations that requires independent judgment.
- The employee may adapt procedures, techniques, and functional theory to meet special needs.
- The Administrative Specialist may plan, coordinate and/or schedule work for a department, function or group of employees.
- Ability to utilize various computer software programs in an advanced capacity will be required.
- A considerable amount of analysis and evaluation of alternative solutions to problems is performed by the employee.
- Ability to interact with internal and external clients to identify, research, and analyze situations to resolve advanced problems.
- General knowledge and/or experience in utility practices and procedures.
- Ability to solve complex problems and issues
- Excellent communication skills.
Required Qualifications
- High School Diploma / GED.
- 4+ years of related working experience as an Administrative Assistant.
Preferred Qualifications
- Associates/Bachelor's Degree in an applicable field
- Strong attention to detail
- Experience with SAP
- Microsoft Applications (Microsoft 365, Office, Word, PowerPoint, Outlook, SharePoint, Teams)
- Experience or familiarity with Microsoft Access and Excel
Essential Functions
- Performs administrative support functions and more complex tasks including establishing relative priorities of current and anticipated workload and organizing and conducting assignments according to deadlines.
- Sets up office systems including file maintenance, correspondence deadlines, and project management for own work.
- Prepares and composes letters, reports, and correspondences and performs other clerical administrative support duties as directed.
- Maintains confidentiality and records management.
- Performs or establishes procedures for all clerical functions and actions including phones, filing, word processing, tracking of information, maintaining logs/spreadsheets, and other similar administrative support.
- Under general direction, prepares special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other areas of the Company, etc.
- Ensures that requests for action or information are relayed to appropriate staff members; ensures that information is furnished in a timely manner; decides whether a higher authority should be notified of important or emergency matters.
