This role requires attention to detail, efficient organizational skills, and discretion in handling confidential information. The ideal candidate for this position will be a role model for excellent service as they interact with a diverse population of students, faculty, staff, applicants, and visitors. Essential Duties & Responsibilities (other duties may be assigned) 1. Provide excellent customer service to a diverse population in a professional, friendly, and courteous manner.2. Provide administrative support for the Dean and staff.3. Assist in the interpretation of guidelines, instructions, policies and procedures regarding department procedures and services.4. Contribute to the graduate admissions and application processing effort in the Graduate School. Maintain banner records and student data in support of that effort.5. Review and approve departmental EPAFs and Offer Letters for graduate student assistantships.6. Review, approve and process tuition-only support requests.7. Enter graduate student support in banner for Graduate School fellows.8. Initiate and manage the setting of tuition caps.9. Reconcile and maintain departmental accounts, including sponsored research accounts.10. Review termination of support requests, ensuring compliance.11. Process Graduate Student Emergency Loan program disbursements.12. At the start of each semester lead the graduate student confirmation/enrollment process.13. Gather data and create reports and graphs, detailing benchmark universities to show comparison (example: student insurance, tuition and stipend rates).14. Maintain and continually update permanent Graduate School files and records, including highly confidential student files.15. Utilize Banner and WebFocus software to update and retrieve employee/student information and to run various reports for statistical tracking, monthly and annual reporting purposes.16. Prepare Electronic Personnel Action Forms (EPAF) using the Banweb system for the Graduate School.17. Initiate and execute inter-departmental paperwork including check requests, and purchase requisitions.18. Route routine/non-routine requests for information to the appropriate person; and provide information and/or referral on appropriate programs and services.19. Independently receive and route email and telephone calls, answering questions when appropriate.20. Receive and route mail.21. Maintain copy/printer equipment and manage the office supply inventory.22. Maintain department meeting room reservations calendar, assist with room reservations, and resolve reservation conflicts.23. Issue keys and building access.24. Serve as backup to other Graduate School staff special projects, functions, and events as necessary.25. Other duties as assigned.26. Apply safety-related knowledge, skills, and practices to everyday work.27. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives. Required Education, Certifications, Licensures (minimum requirements) High school diploma or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired Required Experience (minimum requirements) * Four years office/clerical experience.* Four years experience using personal computers including Microsoft Word and Excel.* Two years customer service experience. Desirable Education and/or Experience * Familiarity and experience with Banner and WebFocus.* Experience updating websites.* Experience working with graduate students.* Experience working with people from multiple countries and cultures.
