Job Summary
Provide daily management and operational direction for the Spiritual Care Department at Saint Joseph Mercy Ann Arbor (SJMAA). Accountable for (1) day to day management of mission-driven Spiritual Care operations; (2) developing, monitoring, and improving core operational goals and processes around standards of care that contribute to and strengthen patient satisfaction and colleague engagement; (3) recruiting, onboarding, engaging and evaluating chaplains and associated staff; (4) building strong relationships with health system entities to promote the development of Spiritual Care in an interprofessional care team environment; (5) working with Spiritual Care staff to develop relationships with area clergy, specifically with Catholic priests; (6) policy development, compliance, and revision; and (6) payroll and budget management. Works as a player-coach with chaplains in the direct provision of spiritual care services; the manager is expected to spend approximately 50% of his/her time in direct patient care. Reports to and works collaboratively with the Director of Mission Integration at SJMAA to create strategies and tactics related to decision-making and goal setting for spiritual care operations and service delivery.
Essential Functions
- *Mission Champion*: Knows, understands, integrates, articulates and demonstrates Trinity Health's Mission, Core Values, and Catholic Sensibilities in daily behaviors, practices, and decisions.
- *Spiritual Care Champion*: Understands, demonstrates and advances Trinity Health Spiritual Care Standards. Serves as a colleague to Spiritual Care leaders and Chaplains across Trinity Health Michigan and contributes collaboratively to Spiritual Care across the Ministries of Trinity Health Michigan.
- *Operational Goal-Setting, Implementation, & Assessment*: Develops, in collaboration with Director of Mission Integration and with the engagement of staff chaplains, spiritual care unit action plans. Measures and assesses performance toward each goal. Responsible for:
- Serving as the unit level manager in planning, organizing, staffing, directing, and coordinating the day-to-day scope of Spiritual Care department for SJMAA.
- Functioning within the spiritual care and administrative standards, policies, procedures, and guidelines of SJMAA and its relevant entities.
- Developing current to intermediate (1-2 year) goals and measuring for a function, area, or process within the context of longer-range goals. Measures and assesses performance toward each goal.
As needed (approximately 25% of time), providing for the spiritual and emotional needs of patients, visitors, and staff with the framework of a professional and progressive model of chaplaincy.
*Daily Operations & Staff Management*: Manages the daily functions the Spiritual Care department. Prioritizes work and assigns tasks to chaplains within scope of management responsibility. Schedules, plans and assigns duties of Spiritual Care staff to meet patient, family, and colleagues' spiritual care needs, and plans/leads most Spiritual Care team meetings. Actively manages workflow, resources and progress against deadlines to ensure deliverables. Works with mission director and chaplains to complete all requested work appropriately and in a timely manner.
- Plans and leads team huddles collegially to ensure that service areas are adequately covered, to monitor the effectiveness of and provide supervisory support to chaplains, and to facilitate team effectiveness for ministry.
- Supervises staff to ensure the completion of their work assignments as needed.
- Regularly prepares and assists staff with performing routine and complex pastoral assessments, interventions, and plans as chaplains.
- Remains usually available and accessible to staff in person or via pager, phone, etc. to respond to service questions or concerns. Provides for staffing needs.
- Responds directly to significant concerns involving day-to-day pastoral care activities and/or performance concerns of any staff colleagues, consulting the director as needed.
- Receives first calls from staff about any concerns in providing their ministries (e.g. late to work, leaving work early, difficulties with supplies or equipment, policy or procedure questions, etc.). May act as back up to staff chaplains for providing direct ministry service as needed.
- Provides advice, supervision, and consultation about specific pastoral care cases.
- Debriefs pastoral cases with associates and responds administratively to associate concerns, consulting with the director as needed.
- Assesses effectiveness of staffing models adjusting staffing plans in consultation with the Director of Mission Integration and staff chaplains as needed.
Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions, and participate in their resolution.
*Chaplain Recruitment, Onboarding, and Evaluation:* Responsible for interviewing, hiring, onboarding, and evaluating all chaplains on an annual basis.
- Takes initiative in determining staffing needs, works with Human Resources and in consultation with the Director of Mission Integration to recruit and select suitable candidates for open positions.
- Responsible for staff orientation, including medical record documentation of patient care, and all other aspects of department functioning.
- Maintains chaplaincy competency as evidenced by ongoing chaplaincy certification per annual continuing education reviews. In consultation with Director of Mission Integration, takes appropriate corrective action to resolve performance issues involving colleagues within area of management responsibility.
- Provides annual performance evaluations of staff within area of responsibility and in cooperation with Human Resources, informing director of results.
- Supervises and provides for staff members' ongoing training needs, including organization mandated training and department training.
- Counsels staff on matters of performance with or without the presence of the director, but in consultation with the director, including writing and delivering coaching memos, performance improvement plans, and disciplinary action as approved by the director.
Interprets, applies and promotes consistent application of hospital/department policies and monitors compliance. In consultation with the Director of Mission Integration, takes appropriate corrective action to resolve performance issues involving colleagues within area of management responsibility.
*Continuous Process Improvement:*Assists in developing and implementing improvement methodologies or programs (e.g., six sigma, continuous improvement, KATA) as appropriate.
- Identifies problems, gaps, and opportunities for service delivery improvement based on observation/experience and on feedback from department staff, other leaders, clinical staff, and others.
- Responsible for identifying quality issues and accountable for improving outcomes.
- Responsible for patient satisfaction, analyzing relevant data and planning and implementing strategies to improve patient satisfaction scores.
Responsible for addressing and improving colleague engagement for the delivery of excellent pastoral ministries, including the development of annual colleague engagement action plans.
