We are seeking an innovative Administrative Assistant to provide support to our Senior Leadership Team. Are you looking to get exposure to the team that runs a business? Are you motivated to learn and grow into higher Executive Assistant roles?
We are seeking an Administrative Assistant with strong verbal and written communication skills, analytical skills, technical skills, ability to prioritize, attention to detail, ability to work with confidential information, and the initiative to work in a dynamic, fast-paced global environment. This is a full-time hybrid (minimum of 2-3 days onsite) opportunity located in Grand Rapids, MI.
As an Administrative Assistant, you will have the following responsibilities:
- Assist in booking extensive domestic and international travel for Senior Leaders and completing accurate and timely expense reports for those trips
- Coordinate customer visits, special guests, and external candidates. Plan and organize in-house and off-site meetings for small and large groups (including agenda, accommodations, transportation, catering, etc.)
- Support the preparation for business reviews (Monthly Operating, Strategy, & Talent). Help ensure inputs are delivered on time and agenda is communicated and successfully met. Coordinate with presenters to ensure they are ready.
- Manage/maintain outlook “Leadership Team Calendar”
- Create and edit advanced PowerPoint presentations; compose and prepare correspondence. Ensure all content is expertly proofread and edited.
- Complete basic data analysis in Excel using operations like V-Lookup, Pivots, and basic formulas.
- Serve as backup Payroll support as needed to provide relief for the payroll team
- Serve as the Communications Lead Coordinator for X-Rite having responsibility for drafting, editing, sending, and posting company-wide messages for a global and US based audience.
- Own internal X-Rite Website and ensure content is exciting, relevant, and up to date.
- Serve as back-up to the Executive Assistant when they are out and partner with them on projects and large events.
- Ensure the SLT is supplied and well organized; maintain files, order supplies, make copies, fax, and assist with basic IT setup for meetings
You should have these qualifications:
- Problem Solver: Track record of ‘investigation mindset’ digging into details to find root cause with ability to resolve and implement countermeasures
- Strong technical skills with proficiency in Word, Excel, PowerPoint, Outlook, in addition ability to trouble-shoot technical issues
- Ability to independently create documents from notes/input from various sources
- Self-motivated and ability to respond to changing situations in a flexible manner to meet current needs and re-prioritize work as necessary
- Strong attention to detail and the ability to meet deadlines
- Positive and strong team player
- Strong verbal and written communication skills with the ability to compose formal communications
- Ability to maintain the integrity of confidential information
Your academic and professional background includes:
- Bachelor’s degree in business, finance, communications, or related field OR in lieu of a degree, 3 years previous experience in an administrative or payroll position
- Previous payroll experience a plus
- Experience in a global corporate environment a plus
- Current Notary Public or willingness to become one with support from the company
