Administrative & Order Processing Assistant

Reports to: CEO & President
We are seeking a highly organized and detail-oriented Administrative & Order Processing Assistant to support our team with a variety of administrative functions. This role will primarily focus on processing and managing customer orders, coordinating follow-ups, and ensuring accuracy across systems. In addition, the Administrative & Order Processing Assistant will play a key role in supporting marketing projects, events, and displays, providing essential coordination and administrative support to keep projects moving forward smoothly.
This position is ideal for someone who enjoys balancing structure with variety, thrives on accuracy, and is comfortable working across departments.
Primary Responsibilities
Order Processing & Administrative Support
- Process incoming orders from internal sales, external sales, distributors, and dealers.
- Follow up on order status, delivery schedules, and customer communications.
- Review and audit orders for accuracy, completeness, and compliance with procedures.
- Maintain organized records and files related to orders, billing, and installations.
- Provide timely customer service support regarding orders, deliveries, and installations.
- Assist with creating and maintaining checklists, reports, and documentation.
- Support internal communication between sales, production, graphics, and shipping/receiving.
Marketing & Events Support
- Assist with planning, organizing, and preparing for marketing events, shows, and displays.
- Provide administrative support for marketing projects, including scheduling, coordinating vendors, and preparing materials.
- Help track marketing event budgets, timelines, and deliverables.
- Coordinate follow-ups after events, including customer inquiries and order requests.
General Administrative Projects
- Assist leadership with various administrative tasks and projects as needed.
- Maintain office organization and provide cross-departmental support.
- Help identify areas for improved efficiency in administrative processes.
- Support internal training, presentations, and informational activities as needed.
