POSITION SUMMARY
With minimal supervision, this role acts as the key contact and subject matter expert for all vehicle Fleet Services activities. To include but not limited to, the acquisition, maintenance and disposition of all Versiti owned or leased vehicles.
DUTIES AND RESPONSBILITIES
Determine the scope of the repair or maintenance required, prioritize work orders and provide timely communication to internal customers.
* Obtain vehicle information from internal customers as to the requested or needed work
* Discuss repairs with internal customers and time needed for repair
* Coordinate pick-up and drop-off of vehicle for needed maintenance or repair
- Off-hours coordination support as needed
* Track rental vehicles while repairs/maintenance is performed
* Record the work to be performed
* Act as primary point of contact with Versiti insurance provider for all claims
Create and manage repair/maintenance requests from driver' reports and/or from Fleet Management supplier(s)
* Obtain information from customer to determine requested or required work
* Discuss repairs with customer
o Able to sign-off on defined $ amount repairs. Requests higher $ amount approvals from
Sourcing Manager.
* Record the appropriate information about the unit/vehicle into Fleet Management system as
defined
o Track customer rental vehicles/trucks and provide estimate on repairs needed.
Communicate repair/maintenance orders and observe workflow progress to ensure work is completed by Fleet Services supplier(s) as specified in a timely manner.
* Work with supplier(s) and customers to communicate repair status and estimated timing of
completion
* Effectively communicate to internal customer the status of any accident repairs as well as
coordinate rental vehicles if necessary
* Act as Department of Transportation (DOT) primary point of contact for site
* Act as vehicle safety trainer for site
* iPASS management for Fleet vehicles travelling into Illinois (IL Toll system)
o Manage # of iPASS's
o Review monthly billing for consistency
* Manage insurance on vehicles
o Act as lead for all claims
* Manage fuel program with supplier
* Review monthly fleet invoices to ensure billing is accurate
* Monitor vehicle mileage and rotate vehicles as needed
* Coordinate vehicle paperwork for lease returns
* Support Sourcing Manager with identification and standardization of vehicles across Versiti
network
* Work with Fleet Services suppliers to identify new product offerings, identify lowest Total Cost of Ownership (TCO) vehicles that meet Versiti requirements
All other duties as assigned
QUALIFICATIONS
Education
* High School diploma
* Fleet coordination experience preferred
* Experience running a vehicle repair program is a plus
* Strong judgment and quantitative decision making skills
Experience
* 3 years of vehicle maintenance preferred
* Customer training experience preferred
* Ability to support multiple projects at one time; good multi-tasking skills
Skills and Knowledge
* Basic computer skills
* Ability to communicated both verbally and in writing
* Ability to listen and understand customers' needs
* Ability to read operating manuals and instructions
* Good problem solving and project management skills
* Ability to train internal personnel on proper operation of vehicles used within BCW operation
o Attend vehicle safety training as needed
Working conditions: Occasionally works outdoors.
