ESSENTIAL JOB RESPONSIBILITIES: * Performs general clerical responsibilities. * Answers phones, greets visitors, and makes appointments. * Receives, opens, and distributes mail. * Maintains administrative records and files as required. * Assists in gathering data for Performance Evaluations. * Acts as a project manager for projects assigned by manager/supervisor * Provides data entry, tracking and reports * Orders supplies, inventory control and invoice reconciliation/payment * Maintains department's SharePoint sites on Inside MFB * Coordinates and monitors monthly spending against department budgets * Additional duties. * Types up correspondence and minutes of meetings and other materials as requested. * Types and sends out announcements of meetings, as well as meeting materials. * Manages the Director's calendar. * Attends meetings as required. * Assists with sign-off of Department time-cards * Copies, faxes, and files documents as required * Plans and executes department meetings and events * Updates and maintains department policies and safety data sheets * Provides back up for various other roles within the department * Assists patients, employees, or visitors with problems, taking appropriate action, if possible, or referring individuals or messages to the appropriate personnel. * Other Responsibilities * Department payroll: monitor and approve time cards * Create and submit expense reports * Arrange meetings: room reservations, food, invites, etc. * IRB: become proficient with OHRP rules to provide guidance for MFB clinicians in navigating IRB process and assist with regulatory documentation requirements. Act as a liaison with IRB staff at external institutions. * Research publication and presentation support: assist research authors with manuscript preparation, poster preparation. * To sit for the majority of the time, but may involve brief periods of time involving walking or standing; * To use keyboard frequently (1/3 to 2/3 of the time) OTHER PREFERRED JOB QUALIFICATIONS: * Experience in a research environment.
