Job Summary
The HR Administrative Coordinator provides administrative and operational support to the members of the HR team, including initiating and performing clerical support functions and customer service support for the department.
(10%) Provides a variety of administrative, technical, and clerical support to the HR department which requires discretion, confidentiality and good judgment when performing assigned tasks. Acts as a liaison with other departments and outside agencies as needed.
- Types and designs general correspondences, memos, etc., ensuring accuracy of spelling, grammar, and layout, making appropriate changes as determined. Responsible for accuracy and clarity of final documents.
- Establishes, develops, maintains, and updates personnel filing systems for the HR department. Retrieves information from files when needed.
- Answers and directs phone calls for the HR department. Takes messages or field calls to appropriate staff, answering routine questions if appropriate. Utilizes corporate email as a source of communication, as well as managing multiple HR inboxes. Works in cooperation with other support staff to cover administrative duties/phones as necessary.
- Creates job aides and trains HR Staff on old and new workflows.
(20%) Assist with the recruitment and pre-employment process as assigned by the HR Manager including but not limited to, posting new positions, assisting with the reference check process, screening process for potential candidates, and interviews.
- Verifies internal employee’s eligibility for open positions. Negotiates pay on GLBHC pay scale, coordinates with hiring manager and current manager to ensure a smooth transition into new position with in a 90-day period. Initiate internal transfer in company software – (UKG).(15%) Responsible for the pre-screening and on boarding process of incoming GLBHC students, interns and residents which includes, background checks, adding them to the filing system, issuing their badge for the proper location access and ensuring they have gone through the mandatory training.

(25%) Responsible for on boarding all new incoming GLBHC employees which includes, the verification of employment eligibility documents, the collection of tax documents, all licensing and certifications required for incoming employees’ job, reviewing, and collecting signed job descriptions. Process and set up employee profile into Ultimate Kronos Group (UKG), as well as inputting employee into learning software, Relias.
- Responsible for coordinating and prepping all necessary documents for bi-weekly new hire orientation.
- Responsible for coordinating and overseeing monthly new employee orientation.
- Assists with coordination and execution of GLBHC Career Expo, as well as attending job fairs as assigned by HR Manager.
(10%) Monitors employee’s compliance with licensure requirements, certifications and other requirements as outlined on employment contracts, agreements, or job descriptions.
- Coordinates continuing education program implementation and documentation.
(10%) Provides support to HR Generalist in the credentialing process for incoming licensed providers. Manages documentation received from incoming provider and relaying to appropriate parties.
- Serves as a back up to HR Generalist regarding provider renewal contracts and incoming provider contracts.
(3%) Assist with various tasks related to benefit plan administration, open enrollment, recruiting, and employee engagement as needed.
(2%) Act as first point of contact when employees are having issues with UKG, assist them in troubleshooting the issue, contact UKG support as necessary.
