Provides complete oversight for Career Services daily office operations and administrative functions. Maintains departmental budget and related activities and reconciliation's. Hires and trains students for front desk operations, provides back-up when needed. Provides oversight for the on-campus recruiting function and mock interview program, scheduling students, employers and events. Provides administrative support for annual reports such as post graduate survey, annual report and others as necessary. Monitors the Career Services unit's e-mail account and makes appropriate referrals on a timely basis. Communicates with director and staff on a regular basis on employer activities in advance of visit to campus. Coordinates the employer recruiting function via vendor internet based system. Provides oversight of the Career Services Social Media plan.
High school diploma or GED. Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job.
Associate's degree. Knowledge of specific software programs and mainframe systems (i.e. SAP, Excel, Access, Powerpoint). Demonstrated ability to design/maintain web pages.
Duties & Responsibilities

Coordinates and independently monitors the work flow of students, organizing work priorities, scheduling and training. Provides complex administrative support to Director and Assistant Directors, acting with a high degree of autonomy and decision making. Responsible for office administrative duties such as ordering forms, purchase orders, all Budget Reconciliations forms, travel reimbursements, etc. Coordinates the On-Campus Recruiting program and mock interview program and communicates with staff, faculty and employers. Supports the units Social Media strategic plan. Other duties as assigned.
