The successful candidate must demonstrate experience, skills, and commitment to fostering an environment of belonging, diversity, equity and inclusion in student, faculty and staff.ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING: Technological Knowledge/SupportThe person in this position must be well versed and knowledgeable in college-supported software products such as, but not limited to Microsoft products (Word, Excel, PowerPoint, Access, SharePoint), Colleague, SSRS Reports, and Adobe Acrobat to manage and support the technology-related needs of the Division. This may include the following responsibilities:
- Maintains website for the Arts and Letters Division and assigned disciplines pages.
- Maintains Employee and Student Inside Delta sites.
- Maintains the SharePoint workgroups and MS Teams.
- Uses available technology that includes Microsoft Word, Excel, Powerpoint, Access, etc., to design, format, print, and reproduce requested projects. These projects include but are not limited to tests, presentations, coursepacks, agendas, memorandums, brochures, graphs and charts, and certificates.
- Manages the Division’s distribution lists via Office 365.
- Uses Colleague and Delta Reports to retrieve documents such as master schedule information, budget reports, employee information, student schedules, class-lists, waitlists, enrollment records, registration tallies, etc., as requested by Associate Dean, discipline/program coordinators, and faculty, and as needed to serve students.
- Keeps current with ever-changing technology by taking classes, workshops, and seminars within and outside the college.
- Assists various Divisions, offices, and Student Educational Services in completing tasks as needed
- Serves as a software expert and operates/troubleshoots office software and equipment issues.
- Uses Acculog and Curriculog database software for electronic academic programs and course approval process
- Troubleshoots routine questions that faculty/staff may have regarding software.
- Trains student assistants in the use of college-standard software.
Office Management
- Orders/Maintains, and distributes supplies using the current contract vendor’s online ordering system. This requires efficient and economic decision-making skills.
- Interviews, hires, trains, supervises, and evaluates student assistant(s)
- Works independently to coordinate multiple tasks while maintaining a productive work environment.
- Operates/Troubleshoots office equipment
- Maintains filing system for the office
- Assures required forms and supplies are readily available for division use.
Communication and Informational Resources
- Point of contact and information kiosk for faculty, staff, students, and visitors
- Collaborates with other divisions/departments to accomplish goals and solve problems in the Division.
- Participates in the Division’s strategic planning process
- Handles a high volume of questions and concerns daily (i.e., person-to-person, telephone, e-mail, letter, memo) from faculty, staff, students, and the community requiring critical thinking and problem-solving abilities
- Represents the Division and answers numerous questions requiring a broad knowledge of the Division and the College
Divisional Support
- Performs a high level of complex, responsible, and confidential support duties for the Associate Dean, discipline/program coordinators, and other division members such as, but not limited to, assisting with the budget, preparing the promotion and tenure packets, coordinating division functions/activities, taking minutes at meetings, and preparing requisitions and travel requests
- Assists Associate Dean in the maintenance of the calendar using the electronic calendar system
- Prepares and maintains all divisional course action forms and outcomes, and objectives. Assists with revision and development of program and course curriculum
- Assists with textbook requisition process
- Assists Associate Dean, discipline/program coordinators, division members, and students with processing course prerequisite waivers and maintains waitlists at registration. Assists students with difficulties following established guidelines
- Distributes class lists, schedules, and miscellaneous items to all full-time and part-time faculty to ensure proper communication.
- Provides support to assigned Discipline Coordinators, especially to assist with assuring the proper functioning of the discipline and accreditation support
- Work closely with Associate Dean and discipline/program coordinators to ensure entry and accuracy for year-long scheduling deadlines and activities
- Provides support to Administrative Professional staff in the S-Wing office area when needed. Assists with monitoring schedules and backup supervision of the lab room student workers in the Division when needed
- Manages the student feedback process
- Assists with the prison correspondence program
- Helps with the process of onboarding new adjunct faculty
- Provides assistance/support for division grants and programs
- Other duties as assigned
Full-Time and Part-Time Faculty Assignments
- Performs a high level of complex and confidential support duties for Arts and Letters full-time and adjunct faculty
- Participates in division retention and enrollment initiatives in support of Student Success
