ADMINISTRATIVE ASSISTANT, TALENT EXPERIENCE(FULL-TIME |GRAND RAPIDS, MI)

In this role, you will work very closely with the Talent Experience and handle a wide range of administrative and support-related tasks. You will need to be a problem solver, have extraordinary interpersonal skills, be extremely organized, and approach every interaction with how can I help*.
ESSENTIAL RESPONSIBILITIES
* Provide administrative support to the Talent Experience Team to support day-to-day operations and key initiatives.
* Comprehensive calendar management for the VP and Director of Talent Experience: Manage daily calendars, showing flexibility and problem-solving abilities to adjust and prioritize schedules.
* Coordinate the many different ways we recognize our employees including ordering, tracking, maintaining the budget, creative research, etc.
* Support the onboarding of new employees and contractors through scheduling, mailing of information, and helping ensure their start at OST is a memorable and successful experience.
* Coordinate the completion of contractor paperwork and agreements.
* Support the administration of our Learning Management System, HRIS, and certification tracking.
* Coordinate and support training such as schedules, pre-work distribution, and follow-up.
* Partner with team to build efficiencies within the team and improve alignment and communication.
* Support employee events
* Serve as the primary backup for front desk coverage.
* Handle and maintain confidential and sensitive information.
* Be an engaged member of the Administrative Support Team helping build the support function at OST.
REQUIRED SKILLS AND EXPERIENCE
* Proven experience as an Administrative Assistant (or similar role), experience supporting a HR or Recruitment team a plus.
* Exceptional communication and organizational skills, attention to detail and follow-through
* Ability to handle sensitive information with tact and integrity must consistently use good judgement and discretion.
* Positive attitude, engaged teammate, highly motivated with a can-do approach.
* Experienced in calendar management, scheduling, travel, coordination, etc.
* High-energy people person who is driven and articulate
* Ability to work independently in a dynamic environment of change, challenge, and multiple deadlines and priorities.
