Job Summary
Advanced, diversified, and confidential secretarial and administrative duties requiring broad and comprehensive experience, skills, and knowledge of company policies and practices. Responsibilities are regularly more anticipatory, multi-tasked, and coordination-oriented. Works under limited supervision. Exercises broad latitude for action related to Key Accountabilities.
Key Accountabilities
• Serves as primary contact and information source for executive and/or reporting organization staff members. Utilizes discretion to prioritize and screen calls, correspondence and visitors. Contacts may typically include Board of Directors, Senior Management, external corporate executives, community/government leaders, etc. Regularly communicates and works closely with Senior Management and staff.
• Anticipates the needs of executive and their team members to help them stay focused on their projects by resolving operational and administrative issues before they arise.
• Independently researches a wide variety of complex information requests and follows up as needed. Maintains confidentiality of sensitive corporate information.
• Strategically prioritizes and organizes workflow for executive and/or reporting organization staff members to ensure deadlines are met.
• Uses advanced skills to create complex word processing, spreadsheets and graphics documents using a variety of Microsoft Office products, e.g. PowerPoint, Excel, and Word with minimal work direction.
• Schedules and maintains calendar, travel itineraries and related arrangements. Coordinates logistics of large-scale events, off site meetings, conferences, workshops, etc.
• Initiates and prepares correspondence, memoranda, reports, meeting minutes, etc.
• Prepares, develops, and maintains confidential personnel documents. Maintains a complete and systematic set of records of business transactions, correspondence, etc. according to preset corporate standards. Maintains sensitive organizational information.
Minimum Education & Experience Requirements
- This is a dual track base requirement job; education and experience requirements can be satisfied through one of the following options:
- High school diploma or equivalent and eight (8) years of related progressively responsible administrative experience, inclusive of two (2) years of experience supporting senior level professional/executives; OR
- Bachelor’s degree and four (4) years of related progressively responsible administrative experience, inclusive of two (2) years of experience supporting senior level professional/executives

- Professional training (e.g, Associates degree, CPS Certification, Business School).
