Job Description
The Fleet Manager’s main responsibilities are:
- To maintain an efficient and good running fleet that will allow expediting all issues related to sales, deliveries and staff transportation needs.
- To look after economical use of funds for fleet and fleet needs.
- He is the company’s negotiator of terms of service contracts with the suppliers.
- To monitor the fleet expenses and make budget analysis.
PRINCIPAL ACCOUNTABILITIES:
To handle the fleet and the fleet needs in an optimized manner that will meet the ongoing sales and delivery requirements by preparing serviceable vehicles through:
- Fleet Acquisition and Purchase.
- Prepare budget for new vehicles as required by different departments.
- Seek offers from the trade for vehicles of different brands.
- Negotiate offers, prices and terms with suppliers and recommend to Management suitable brands and prices.
- Execute supply contracts and receive new vehicles.
- Carry out studies to guide company path through trade in respect to leasing, buying and hiring vehicles.
- Fleet Maintenance.
- Establish & Maintain maintenance contracts with service agencies.
- Receive maintenance requests from fleet users.
- Make estimates and send fleet for maintenance.
- Follow through with agencies the completion and quality of repairs and receive fleet after maintenance.
- Suppliers Claims.
- Receive suppliers claims for maintenance payments.
- Approve repairs expenses according to contracts.
- Follow-Through with Finance for timely settlement of payments to suppliers to avoid penalties.
- Fleet Supply and Support.
- Negotiate and conclude contracts for supply of fuel, oil, tires and Services for the fleet with suppliers.
- Keep track and monitor the implementation and healthy use of facilities offered by suppliers.
- Follow-up and monitor the fleet periodic maintenance and services.
- Keep and update fleet records.
- Fleet Renewal and Discard.
- Plan and implement fleet replacement as needed according to fleet age, mechanical conditions and general status.
- Identify old and discardable fleet for disposal.
- Follow-up with relevant departments the disposal of unnecessary fleet.
- Fleet Budget Monitoring and Administration.
- Keep track of fleet expenses on a monthly basis.
- Establish a record of expenditure for fleet by item.
- Establish the yearly Fleet AOP.
Qualifications/Requirements
A Fleet Manager must possess a high level of skill in the following areas:
- 5-8 Years’ experience in mechanical or equipment engineering, logistics and transportation
- Strong negotiation skills.
- Strong interpersonal skills.
- Strong communication skills.
