Donor Database and Foundation Support Specialist - Foundation * Days - 40hrs/wk

General Summary:
The Donor Database & Foundation Support Specialist is responsible for oversight of our donor database: Blackbaud’s Raisers Edge. The Specialist focuses on ‘all things data’ and ensures it is entered correctly and timely. The Specialist utilizes the database alongside our wealth screening program to provide prospecting candidates for the Development team. Enters and reviews gift entries to ensure gifts are properly recorded, receipted and acknowledged, in a timely manner. Prepares deposits. Provides monthly reports on giving for gift officer meetings. Handles information of highly sensitive and confidential nature.
This position also provides support to the Foundation team by welcoming guests to the department, maintaining office communication mechanisms (Foundation voicemail, phone, email & mail) and helps team members accomplish their tasks through other occasional duties as assigned.
Requirements:
- 3-5 years of donor database experience, preferably with Blackbaud programs & wealth screening tools
- Professional office experience
- Microsoft Office Suite computer skills preferred
- Attention to detail and accuracy are essential
- Demonstrated communication skills
- Effective time management and highly developed organizational skills
- Able to deal with very sensitive issues in a tactful, positive and confidential manner
- Commitment to maintaining confidentiality
- Ability to work independently with guidance, but minimal oversight
Essential Functions and Responsibilities:
- Responsible for overall data entry into Raiser’s Edge including setting up new records for donors/prospects, updating constituency status, and entry of notes & actions. Ensures donor information is accurately maintained including historical, prospect and recognition information.
- Processes donations accurately and timely (24-48 hours): this includes donor updates, pledges, invoice collection, receipting and acknowledgement letters.
- Pulls all lists requested by the Development team for fundraising, communication and stewardship purposes.
- Conduct reactive and proactive research. Be innovative in devising new ways to secure information of critical importance to the effective solicitation of significant constituents MHUMH. Provide prospect research to the foundation director, gift officers and hospital senior leadership team.
- Provides monthly reports on: donor giving, gift officer visits, campaign and event data analysis.
- Prepares bank deposits and work with Foundation Administrative Assistant to reconcile monthly financials between development and finance software systems.
- Maintain office conditions, provide a welcoming environment for guests and callers.
- Check Foundation email, voicemail & mailbox, reply to general phone inquiries where appropriate.
- Performs other duties as assigned. These may include but are not limited to: Maintaining a current knowledge base of department processes, protocols and procedures, pursuing self-directed learning and continuing education opportunities, and participating on committees, task forces, and work groups as determined by management.
