Essential Function of the Job
This position will support EightCAP’s Operations Department by doing multiple administrative direct service tasks, as described below. This person will communicate daily with parents, teachers, vendors and other EightCAP staff. The tasks that this position undertakes are critical to ensuring that facilities are kept in safe condition, internal agency processes are followed, inventories are at a minimum, and transportation services are provided in a safe and effective manner in the agency’s delivery of federally- and state-funded, anti-poverty programming.

- Maintain computerized student and required transportation files.
- Be familiar with transportation maintenance, routing and tracking systems, entering information as needed.
- Assist in maintaining files on facilities and their required inspections.
- Assist in the filing of reports to local Health Departments, Department of Environment Quality and Environmental Protection Agency.
- Collects, records, and processes statistical data.
- Maintain staff files including documentation of required trainings.
- Assist Bus Staff Supervisor with the documentation and progress of trainees and submit reports to the Department of Transportation.
- Assists in coordination of various program/department activities as assigned.
- Answers telephone and greets visitors.
- Assist mechanic with work orders, vehicle shuttling as needed.
- Be familiar with the agency’s procurement process.
- Assist in developing Requests for Proposals including technical specifications of supplies and or equipment.
- Contact and answer inquiries from potential bidders/vendors. Record and maintain documents ensuring completeness of procurement process.
- Assists in the processing of payment requests, applications for program services, mailings, and other agency paperwork.
- Performs related program and administrative work as required.
- Assists Bus Staff Supervisor in training new bus drivers.
- Other related duties as assigned.
Requirements of Work
- Effective written and verbal communication skills.
- Ability to operate a variety of office equipment.
- Have adequate typing skills.
- Ability to deal pleasantly and professionally with the public and co-workers.
- Department of Transportation Physical including screening for tuberculosis and drug test.
- Be able to lift a small child if the situation requires, approximately 50 pounds.
- Absence of exclusionary findings on a comprehensive Department of Human Services and Criminal History Check.
Desirable Minimum Training and Experience
- Data processing training or experience/computer and organizational skills.
- High School Diploma or equivalent or an Associates Degree in related field or comparable experience.
- Valid CDL, Passenger and School (P and S) Endorsement and excellent driving record.
- Completion of Michigan School Bus Driver Education Course.
- Course completion of 16 clock hours of professional development training, annually.
