The Accounts Receivable Representative is responsible for all aspects of the Accounts Receivable process including invoicing through cash receipts and ensuring customers are billed accurately and in timely fashion.
Essential Duties and Responsibilities:
- Process large volumes of sales orders and invoices.
- Apply customer payments.
- Research and solve payment discrepancies, including deductions
- Process credit card payments and credits. (Le Sueur Office Only)
- Adjust accounts as needed.
- Communicate with customers regarding their accounts. (Le Sueur Office Only)
- Perform daily and monthly reconciliations.
- Enter lock box deposits, bank deposits and all electronic payments.
- Communicate specific customer payment information with outsourced collector.
- Enter any credits needed to complete posting of cash receipts.
- Contact customers with any short or over payments to their accounts.
- Enter billings daily. (Le Sueur Office Only)
- Print, review and distribute invoices and statements.
- Set up and maintain monthly discounts.
- Enter suggested retail pricing and may print shelf tags as requested by customers.
- Review and maintain customer information files and inform key personnel of changes.
- Assist customers with questions on products, quality and delivery errors.
- Inform customers of any price changes.
- Sort and file invoices and paperwork on weekly basis.
- Maintain customer relationships through excellent service and communication. (Grand Rapids Only)
- Pull backup for any lockbox short payments set up as a DED through cash application. (Grand Rapids Only)
- Verify the validity of debits or check requests against the promo planner. (Grand Rapids Only)
- Research debits not on the planner and those at different amounts than expected. (Grand Rapids Only)
- Review promo planners against the previous quarter for accuracy, working with Sales to ensure completeness/accuracy as needed. (Grand Rapids Only)
- Provide audit transaction backup. (Grand Rapids Only)
Other Duties and Responsibilities:
- Understand and adhere to Good Manufacturing Practices.

- Correct or report any observed safety hazards.
- Support safety policies and programs.

Qualifications:
Education Required:
- High School Diploma or equivalent required.
- Associate's Degree in a related field from a two-year college or technical school preferred.
- Equivalent combination of education and/or experience may be considered.
Experience Required:
- Minimum two (2) years of Accounts Receivable or cash application experience required.

- Intermediate computer skills with Microsoft Excel, Power Point, Word, Outlook and field-specific software.
