Location: Lansing, Michigan
Purpose: This position will provide administrative support activities for the Division of Environmental Health. The incumbent will provide a full range of administrative, data entry, and paralegal activities.
Duties and Responsibilities:
- Develops events, newsletters, and other engagement activities for the Division of Environmental Health.
- Identifies and organizes team building activities on behalf of the Division and serves as a resource for identifying best practices.
- Develops and implements employee outlook evaluations on behalf of Division.
- Supports the Division Secretary, as needed, with the tracking, management, and communication of key dates, quarterly deliverables, and more.
- Coordinates and tracks hiring within the Division.
- Supports Division Secretary and management with the onboarding of new staff.
- Serves as resource for existing staff.
- Provides editorial and administrative support for the Division Team, including development of agendas, recording of minutes, letter formatting, etc.
- Maintains calendar and schedules all meetings, appointments and commitments for Division Team, as requested.
- Plans for travel/conference attendance both in and out of state, coordinating with private and federal agencies as needed for the Division Team, as requested.
- Arranges conferences and special meetings on behalf of the Division Team.
- Anticipates, determines and provides Division Team with materials needed for meetings, answering correspondence or preparing reports.
- Supports Division and Section secretaries as needed, per the approval of the supervisor.
- Assists with the tracking and collection of documents on behalf of the Division Team as requested by MDHHS's FOIA Coordinator or Legal Team.
Qualifications/Requirements:
Education: A bachelor's degree is preferred for this position. Will consider candidates with a minimum of an associate degree and appropriate combination of education, certifications and experience that provide the required knowledge, skills and abilities comparable to a bachelor's degree.
Experience: One or more years of experience working in an office setting conducting engagement activities, event planning, or providing human resources support.
Important Skills and Characteristics:
- Strong technology skills - including social networking and virtual engagement platforms.
- Highly organized and keen attention to detail.
- Knowledge of composition of letters, minutes, reports associated to governmental or public health settings.
- Knowledge and usage of correct English language, grammar, and spelling.
- Ability to use diplomacy and discretion when giving out information and referring and directing callers and visitors.
- Ability to meet schedules and deadlines of the work area, and to follow, apply, interpret and explain instructions and/or guidelines.
- Ability to communicate effectively.
- Knowledge of organization and maintenance of filing systems (both electronic and paper), office practices, processes and computer software programs.
- Knowledge of scheduling and coordinating travel arrangements.
- Ability to operate standard office equipment.
- Ability to learn and utilize computer processes.
- Ability to design forms and other professional documents using Microsoft Office and other electronic formats.
- Ability to maintain favorable public relations.
- Knowledge of MDHHS departmental policies, procedures and organizational relationships and the work area's mission and appropriate application or willingness to learn.
Work Environment and Physical Requirements: Standard office environment. Physical effort will be typical of an office position, including computer work and attendance at meetings. Requires valid vehicle operator's license and occasional travel within the State, including overnights. Less occasionally, travel may be required outside the State or work may be necessary outside of regular hours is necessary for the support of a response effort or project. Work materials and meeting supplies can be bulky and may weigh up to 40lbs. The employee could be exposed to local weather conditions.
