The office assistant will deliver CMS discharge follow up letters to patients, as well as keeping accurate records of all deliveries and attempts. Office Assistant is responsible for the delivery and explanation of the MOON Medicare Outpatient Observation Notice and to obtain signatures from patients. Responsible for handling discharge appeals appropriately and working closely with the care coordinators and office supervisor. This position sees a high volume of patients per day. Candidate must have ability to enter patient rooms and present information in a professional manner and work well under stressful situations. Office assistant will also provide assistance to office coordinator and assist with daily office operations.
GENERAL SUMMARY:
Under general direction, performs functions related to front desk activities including (but not limited to): scheduling appointments, registration, billing functions, insurance authorizations, phone communications, data entry into Epic/Mosaiq data systems, Filing, scanning and retrieving medical records, faxing, copying, and collating correspondence. The office assistant performs responsibilities in accordance with departmental procedures to ensure efficient front desk operations, which embody our service orientated philosophy and promotes patient /customer satisfaction.
ESSENTIAL DUTIES:
1. Greet and register patients, answer and direct phone calls, verify patient demographic and insurance information, update computer files.
2. Preparation of clinical forms needed for new patient consults & follow-up appointments.
3. Schedule patient appointments, and coordinate appointments between physicians, residents, physicists, and technicians, as needed.
4. Demonstrates competence in computer applications such as Epic, Mosaiq and Microsoft applications.
5. Utilize effective communication skills to incorporate Beaumont Health standards while providing service to patients, colleagues, other departments and physician offices.
6. Copies/collates/staples/faxes/scans documents and correspondence for clinical staff delivery of patient care in the electronic medical record; Epic and Mosaiq.
7. Prepares medical record for release, in accordance with policy and procedure.
8. Participates in departmental special projects.

1-2 years' experience in a clinical office setting preferred.

Strong communication skills, multi-task oriented, sensitivity to others, ability to prioritize, self-motivated and ability to handle stressful situations. Typing minimum of 45 WPM.
