OVERVIEW:
Primary responsibility is acting as a liaison between customers and our company; while performing duties including order entry, invoicing, answering account questions, production data entry, requesting freight and delivery appointments, and other queries.
RESPONSIBILITIES AND RESULTS
- Track and date incoming sales orders, revisions, and cancellations. Effectively communicate with Production Team to confirm product will be available for shipment by requested date.
- Assign inventory to orders from pre-allocated contract batches.
- Enter orders into our software program through a 30-point process, using OneNote customer database as a resource. Complete an approval checklist to ensure accuracy.
- Work closely with Warehouse Team, creating releases for shipments and meeting strict deadlines to avoid delays in loading, shipping, and delivery.
- Coordinate freight arrangements and delivery appointments with our Traffic Team and customer’s Traffic Team.
- Answer customer and broker inquiries including contract balances, pricing, scheduling orders, production timeframes, warehouse requirements, freight quotes, etc.
- Provide documentation as requested such as invoices, proof of delivery, export documents, certificates of analysis, product specifications, etc.
- Perform lot, pallet, and quantity verifications against Bills of Lading from all shipments for traceability.
- Create invoices, including storage fees, pallet fees, freight charges, brokerage percentages, etc.
- Assist Sales Managers, Finance, Quality, Production, Warehouse, and Freight Teams in all aspects of customer records and details.
Education
Work Experience
- Two (2) or more years customer service and/or general office experience preferred
Skills and Knowledge
- Ability to write reports and business correspondence.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers and general public.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages and volume. Ability to apply concepts of basic algebra.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- To perform this job successfully, an individual should have knowledge of Microsoft Office.
