Primary Functions: Responsible for providing administrative support to the sales team. This position provides information, quotations to customers, and oversees order preparations. This individual will handle a wide range of administrative related tasks. The ideal candidate must be able to work independently with little or no supervision and be exceedingly well organized.
Duties and Responsibilities:
•Respond to customer or dealer inquiries, requests, or concerns.
•Process price quotations, verifications, purchase orders, government bids, and changes to or cancellations of bus orders.
•Oversee all bus orders.
•Complete weekly schedule of units for production, expediting, and ensuring timely delivery of scheduled units.
•Maintain calendars, preparation of meetings both internally and externally, creating agendas and presentations.
•Screen and prioritize incoming phone calls and mail.
•Handle routine copying, scanning, mailing, faxing, and arranging packages.
•Create various reports for sales and manufacturing.
•Drafting emails and letters on behalf of the Managers.
•Must have the ability to handle confidential information with discretion.
•Must be willing to work extended hours as needed.
•Other duties and task as needed.
Qualifications/Training:
•Administrative experience
•Highly organized with strong attention to detail and follow through
•Solid communication and problem solving skills
•Able to work in a fast pace environment and multi task; flexible and adaptable to change
•Strong computer skills (Microsoft Office, Word, Excel, Power Point)
•A team-player who demonstrates initiative and embraces projects with passion and enthusiasm
•Able to discreetly maintain sensitive information
•Able to interact confidently with individuals at all levels of organization, particularly senior levels
•Ability to meet strict deadlines while maintaining accuracy
Experience:
•Experience in a similar manufacturing environment.
•Computer skills, Microsoft programs
Education:
•High School Diploma or equivalent
