What You’ll Contribute to OHM Advisors
The Human Resources Assistant/Coordinator is responsible for the administration of maintaining full life-cycle of employee information. The HR assistant/coordinator will be responsible for onboarding, new employee orientation, benefits administration, maintaining data in UltiPro HCM system, all while performing general HR tasks. He/she is meticulous in attention to detail, task management, and execution. He/she easily adapts to changing environments and multiple competing demands. He/she is equally comfortable working as an individual and in a group setting and interacts with all employees and vendors. Candidates without Human Resources experience will not be considered.
Your Responsibilities
Day-to-day, you will work closely with the Corporate Services and Operational teams on-boarding new hires in the company.
* Communicate daily with new hires and managers and field questions as necessary.
* Fully onboard new hires into the Company.
* Administer the pre-employment background and drug screening process.
* Maintain key employee information in the HCM system.
KEY RESPONSIBILITIES and deliverables?
Within your first 3 months you will:
* Review and process all hiring requisitions and set up new hires in the HCM system.
* Create and issue all employment offers and new hire paperwork with accuracy.
* Fully onboard new employees (pre-employment screenings, I-9, E-verify, & orientations)
* Thoroughly review and enter all new employee information into the HCM system.
* Prepare weekly new staff update and termination report for distribution.
* Prepare benefit information for bi-weekly payroll folder for Financial Analyst.
* Conduct regular new employee benefit orientation meetings and fully educate employees on all benefits offered.
* Must be knowledgeable of all OHM benefit offerings.
* Field incoming HR help desk benefit-related requests from users via email, telephone and in-person in a timely, courteous manner.
Within your first 6 months you will:
* Manage employee benefits, enrollments/changes, and eligibility in the HCM system.
* Audit weekly benefit enrollments, changes, and terminations in the BCBSM system.
* Processes and codes monthly billings from insurance providers with AP deadlines to ensure timely and accurate payment.
* Audit employee records, benefits enrollment changes, and any HR transactions that affect payroll.
After 9-12 months you will:
* Be seen as a trusted advisor for employee benefits for employees and managers.
* Lead the internal employee onboarding program that supports our learning, development, and career pathing framework.
* Act as a liaison between employee and insurance providers and to resolve benefit related problems.
* Provide regular feedback to vendors on employee service issues and manages vendors to enhance the employee experience.
* Provide guidance and support to the internal Employee Wellness Committee and third-party administrators with company-wide wellness activities.
* Assist with annual open enrollment set up in HCM system, materials from carriers, communicating changes to employees/answering questions, assist with employee presentations.
* Assist with compliance and reporting with the Affordable Care Act (ACA) through the HCM system.
* Administer benefit and wellness compliance for various benefits related activities. Patient Protection and Affordable Care Act (ACA), COBRA, Family Medical Leave Act (FMLA), Health Insurance Portability and Accountability Act (HIPAA), and Section 125 plans.
* Assist with ensuring benefit plans are administered in accordance with federal and state regulations and plan provisions.
* Perform other HR duties as required and as assigned.
