Order Entry, Shipping, & Customer Service
REPORTS TO:
VP of Sales
SUMMARY:
Receives all orders to Genesis Seating Inc. Ensures all orders are adequately defined and documented. Resolves any differences between the purchase order and the quotation. Maintains integrity of the manufacturing database and the customer files. Communicates with customer regarding customer orders. Co-ordinates the shipment of product to the customer.
ESSENTIAL RESPONSIBILITIES AND AUTHORITIES:
Includes the following.
Other duties may be assigned.
Receives customer orders.
Utilizes and maintains the order entry work instructions.
Verifies customer orders.
Enters all customer orders into the manufacturing database.
Creates production jobs for all customer orders.
Prepares shipping documentation to accompany direct shipments.
Processes any customer order changes specified by the customer or internal requirements.
Processes expedited shipping shipment information.
Files customer orders.
Updates price list as instructed by the ECN process.
Maintains production schedules.
Responds to customer inquiries regarding order status, scheduling and general information. Follows up as necessary.
Working knowledge of Syteline software and order entry and jobs module.
Adds new fabrics into Syteline database.
ESSENTIAL RESPONSIBILITIES AND AUTHORITIES (Continued):
Monitors volumes of scheduled orders using Production Capacity Report.
Monitors customer's Genesis PPM ratings.
Prepares Monthly Capacity Report for Customers.
Verifies receipt of products from production areas to meet scheduled requirements.
Prepares products for shipping, processes shipping paperwork, and loads trucks.
Demonstrates a positive demeanor and attitude.
Interacts with customers and internal personnel in order to arrive at and provide the best possible service to the customer.
QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:
One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience. A valid hi-low operator's license is required.
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Ability to respond to inquiries or complaints from customers or other employees.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to use software such as MS Excel, MS Word, and MS Outlook.
REASONING ABILITY:
Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

While performing the duties of this job, the employee is regularly required to sit and use hands to operate computer keyboard and 10 key pad. The employee frequently is required to walk and talk or hear. The employee is occasionally required to stand and reach with hands and arms.
